This hybrid role in Tacoma, WA focuses on administering, ensuring compliance, and driving operational excellence for U.S. and Canadian benefits programs, including retirement plan contributions, health and welfare payments, and regulatory reporting. The position is based at Auto Warehousing Company with three days in office per week, offering a base salary of USD 90,000 to 110,000 per year, plus a bonus potential of up to 15% and a comprehensive benefits package.
Responsibilities
- Oversee end-to-end 401(k) plan administration, including weekly funding, data entry and validation of employee deduction amounts, loan management, and the annual audit.
- Process weekly contributions for Canadian RPP and RRSP plans, ensuring accuracy and adherence to Canadian requirements.
- Calculate, prepare, and remit payments for multiple union benefit plans, such as Teamsters Central States Health & Welfare and Pension Plans, Southern States Pension Plan, and Michigan Conference Health & Welfare Plans.
- Maintain precise records, resolve discrepancies, and ensure timely remittance to all carriers and trust funds.
- Lead compliance reporting for U.S. and Canadian benefits, including Form 5500, ACA 1095-C preparation and data validation, WAPAL reporting, and Canadian T4 reporting.
- Support internal and external audits by preparing documentation, responding to inquiries, and ensuring data integrity.
- Administer all Canadian employee benefit programs, including new hire enrollments, life event changes, system data entry and maintenance, and monthly billing review, reconciliation, and payment.
- Serve as the primary point of contact for Canadian benefit carriers and internal stakeholders.
- Maintain accurate employee benefit records across HRIS and vendor systems.
- Collaborate with Payroll, HRIS, HR, and Finance to ensure alignment and accuracy of benefit-related data.
- Assist with process improvements, vendor management, and special projects as needed.
- Develop and maintain strong relationships with brokers, advisors, vendors, and other external partners to meet the needs of the company and plan members.
- Provide backup to the Senior Benefits Specialist and the Director of Compensation & Benefits.
- Perform additional duties as assigned.
Requirements
- Five or more years of experience in benefits administration, with preference for exposure to both U.S. and Canadian plans.
- CEBS, CBP, or related certification is preferred.
- Direct experience administering 401(k) plans, including funding, loans, distributions, audit support, payroll interfaces, and compliance requirements.
- Experience with union benefit plans and multi-employer trust fund remittances is highly desirable.
- Experience preparing or supporting compliance filings such as Form 5500, ACA 1095-C, and Canadian T4 reporting is highly desirable.
- High proficiency in Excel with the ability to pass an advanced Excel practical exam.
- Strong attention to detail and solid analytical, organizational, and problem-solving skills.
- Excellent reconciliation abilities and capacity for effective problem resolution.
- Strong communication skills for collaboration with vendors, carriers, brokers, and internal stakeholders.
