Job Description

Support the Chief People Officer with advanced, confidential executive assistance while coordinating executive recruitment for a high-quality candidate experience.

Responsibilities

Manage complex calendars, meeting schedules, and travel coordination, including itineraries and agendas.
Prepare, edit, and polish executive-level documents using PowerPoint, Excel, Word, and related tools.
Support EXCOM and senior management meeting preparation, including tracking action items.
Act as a trusted gatekeeper for the Executive, prioritizing access to time and maintaining confidentiality.
Facilitate expense processing, vendor coordination, invoice management, and budget tracking.
Partner closely with the Executive to maintain awareness of upcoming commitments and responsibilities, with appropriate follow-through.
Track deliverables and ensure timely follow-up on action items.
Coordinate cross-department communication as a bridge between the Executive’s office and internal teams.
Maintain key internal and external relationships and communications to meet business needs.
Lead end-to-end executive recruiting coordination: interview scheduling, travel logistics, candidate hosting, and candidate experience delivery aligned with brand.
Administer pre-assessment tools, launch background checks, generate offer letters, and manage relocation and onboarding plans.
Create and distribute executive recruitment reports for senior leadership and coordinate search update meetings and cadence.
Drive efficiency and continuous improvement across administrative, recruitment, and reporting processes.
Organize team meetings, off-sites, and special events in partnership with other assistants to ensure successful execution.
Handle sensitive HR materials, executive correspondence, and separation documentation with discretion.
Ensure compliance with company policies and demonstrate integrity and professionalism.
Manage projects with broad organizational impact, including HR programs, annual planning cycles, and leadership initiatives.
Leverage technology and creative resources to deliver results.

Requirements

High school diploma or equivalent.
Bachelor’s Degree or some college coursework in accounting, administrative and personnel management, and data processing preferred.
Certified Administrative Professional (CAP) designation preferred.
5+ years of progressively responsible experience supporting senior executives, including significant support for C-suite leaders.
Proven ability to manage highly confidential information with discretion and sound judgment.
Ability to stay calm under pressure and find solutions when needed.
Advanced proficiency in Microsoft Office Suite.
Exceptional written and verbal communication skills for executive-ready materials.
Strong organizational skills with the ability to prioritize multiple tasks and maintain attention to detail.
Strong interpersonal skills to build stakeholder relationships, influence outcomes, anticipate needs, and work autonomously.
Experience in complex, fast-paced, highly visible environments.
Experience owning executive recruitment operations or senior-level talent processes preferred.

Job Description

The Human Resources Generalist/Executive Support provides comprehensive HR services while also serving as an administrative liaison between the Chief Executive Officer and the Board of Directors for Desert Senita Community Health Center. This onsite role supports recruitment, onboarding, employee relations, benefits, compliance, payroll coordination, and executive and Board governance documentation.

Key Responsibilities

Coordinate the full-cycle recruitment process, including job posting, application screening, interview scheduling, initial candidate screenings, and coordination of hiring activities.
Prepare offer letters and employment documentation, and maintain applicant tracking records and recruitment metrics.
Support department managers with staffing needs and hiring strategies.
Coordinate new employee orientation and onboarding activities, ensuring completion of pre-employment requirements and facilitating new hire paperwork and system setup.
Coordinate employee training, compliance education, and professional development opportunities, while maintaining training records and certifications.
Assist employees with benefits enrollment, benefits changes, and benefits-related questions, including coordination of annual open enrollment and communication with benefit vendors.
Support payroll processing by reviewing employee changes, tracking timekeeping, and ensuring accurate payroll documentation; assist employees with payroll questions and wage-related inquiries.
Maintain personnel files and HRIS records with accuracy and confidentiality.
Provide administrative support to the Chief Executive Officer, including managing the CEO’s calendar, meetings, travel arrangements, and scheduling.
Prepare correspondence, reports, presentations, and executive communications, and coordinate special projects assigned by the CEO.
Maintain confidential executive files and sensitive organizational information.
Serve as the primary administrative liaison between the CEO and the Board of Directors, coordinating Board and committee meeting logistics and preparing Board packets, agendas, reports, and meeting materials.
Distribute Board communications and official notices, record and maintain Board meeting minutes, and maintain confidential Board records and corporate governance files as assigned.
Coordinate Board member onboarding and orientation materials.
Act as a resource for employees regarding workplace concerns, assisting with employee relations issues through coaching, mediation, and problem-solving, and supporting investigations involving employee complaints.
Promote a positive workplace culture centered on communication, respect, and teamwork.
Assist managers with performance evaluations, corrective actions, coaching, and employee development plans.

Required and Preferred Qualifications

Human resources experience: 3 years required.
Education: Bachelor’s degree in Human Resources, Business Administration, or a related field is preferred.
Experience: Three (3) years of Human Resources experience is preferred.
Additional experience: Experience supporting executive leadership or Board activities is a plus.
Knowledge: Knowledge of employment laws and HR best practices.
Skills: Strong organizational, communication, and interpersonal skills.
Tools: Proficiency in Microsoft Office and HRIS systems.
Confidentiality and pace: Ability to maintain confidentiality and manage multiple priorities.
Language: Bilingual in English/Spanish; Spanish is preferred.
