Human Resource Specialist
Job Description
The Human Resource Specialist will provide operational administration of HR programs and processes across the employee lifecycle at Call On Doc in Irving, TX. This onsite role supports compliance, employee records, HR systems, and HR audits, with coordination across Payroll, IT, Finance, managers, and external vendors.
Key Responsibilities
- Lead and coordinate the organization’s comprehensive employee offboarding process, including resignation and termination workflows and checklists.
- Confirm final employment dates and develop structured transition plans with managers.
- Set offboarding timelines, responsibilities, and completion deadlines, ensuring operational knowledge transfer between departing employees and managers.
- Coordinate transfer of projects, recurring duties, vendor relationships, reports, calendars, shared inboxes, and system responsibilities.
- Confirm managers identify essential responsibilities, deadlines, contacts, and pending work requiring reassignment.
- Ensure departing employees prepare or update standard operating procedures, workflow documentation, trackers, and knowledge-base materials.
- Organize company files within approved storage locations and coordinate with Information Technology on account access, ownership changes, data preservation, and access removal.
- Coordinate equipment return and preservation of company records.
- Notify relevant departments including Payroll, Finance, Licensing, Credentialing, Information Technology, and other applicable teams regarding separation-related actions.
- Coordinate benefit separation notifications and final payroll communication, including exit interviews and identification of employee-relations trends for leadership review.
- Conduct or coordinate personnel file audits after separation, verify completion of all offboarding requirements, and maintain personnel file documentation standards.
- Monitor missing, expired, or incomplete documentation and maintain document retention schedules and confidentiality requirements, including control of access to confidential employee records.
- Track employee classifications, employment status, and exempt/nonexempt designations while maintaining HR compliance trackers and records for required federal and state employment notices.
- Prepare records for internal and external audits, preserve records associated with audits, investigations, legal holds, and administrative claims, and maintain federal employment eligibility records with periodic eligibility documentation audits.
- Coordinate electronic employment verification requirements where applicable and escalate missing or questionable documentation appropriately.
- Maintain accurate employee data, process approved employee status and organizational changes, and manage appropriate system permissions.
- Audit HR system records against personnel files and payroll, coordinate approved system updates with Payroll and Information Technology, and track and resolve data discrepancies.
- Maintain the annual performance review schedule, track overdue evaluations, maintain completed evaluation records, and report completion and overdue evaluations by department and manager.
- Maintain documentation supporting promotions, merit increases, and position changes, and refer employee performance concerns requiring corrective action to HR leadership.
- Manage benefit enrollments and qualifying life event changes, coordinate benefits during onboarding, administer employee leave requests, and coordinate accommodation requests. Maintain benefits, leave, and accommodation records and resolve routine enrollment discrepancies.
- Coordinate approved payroll deductions and ensure required employee notices are distributed, including annual open enrollment and verification of employee census information.
- Receive and document workplace injury reports, coordinate timely claim reporting with insurance carriers, maintain claim documentation and statutory deadlines, and monitor claims through closure. Work with managers regarding temporary work accommodations and maintain leave records associated with claims.
- Receive and track unemployment claims, coordinate claim documentation and submission deadlines, and maintain claim records and outcomes, escalating disputed or legally sensitive matters to HR leadership as appropriate.
- Maintain approved incentive and bonus program documentation, confirm employee eligibility based on HR requirements, collect supporting documentation from department managers, verify calculations, identify qualifying and non-qualifying employees, and coordinate required approvals. Submit approved incentive payments to Payroll and investigate payment discrepancies while maintaining compensation audit trails.
- Verify salary, hourly rate, employment status, and approved compensation changes, compare HR records with payroll data, and coordinate payroll corrections with Payroll and Finance.
- Prepare and maintain HR operational reports including offboarding completion metrics, knowledge transfer completion, personnel file audit results, performance review completion, benefits, leave, and accommodation reporting, employment documentation compliance, workers’ compensation and unemployment claim status, incentive and bonus administration, employment turnover and retention metrics, open HR tasks and project tracking, HRIS and payroll reconciliation reports, and administrative compliance reporting.
Scope note: This position is administrative and operational in nature and does not have responsibility for workplace investigations, employee relations, disciplinary decisions, corrective action plans, or formal performance improvement plans.
Required Qualifications
- Bachelor’s degree in Human Resources, Business Administration, or a related field (preferred).
- Equivalent combination of education and experience may be considered.
- Three to five years of progressively responsible Human Resources experience.
- Experience administering HR operations, benefits, personnel records, HRIS, and compliance.
- Experience coordinating employee lifecycle processes.
- Working knowledge of federal and state employment regulations.
- Strong knowledge of HR administration and employment recordkeeping.
- Strong organizational and project coordination skills, analytical and auditing abilities, and exceptional attention to detail and accuracy.
- Ability to manage multiple priorities and deadlines and maintain strict confidentiality.
- Strong written and verbal communication skills.
- Proficiency with HRIS and Microsoft Office applications, particularly Excel.
- Ability to collaborate effectively with managers, Payroll, Information Technology, Finance, and external vendors.
