Executive Assistant (Human Resources)
Job Description
This onsite Executive Assistant role provides high‑level administrative support to the Chief Human Resources Officer, handling confidential tasks, calendar management, and liaison with management, labor groups, elected officials, and the business community in Spokane, Washington.
Responsibilities
- Serve as the confidential personal assistant to the Director of Human Resources & Labor Relations and perform related administrative duties for the HR, Training, and Security teams.
- Field inquiries about organization policies, procedures, and activities, directing them to the appropriate office and maintaining the Director’s schedule.
- Distribute division policies and procedures issued by the Director to department heads and responsible staff.
- Type and prepare correspondence, reports, and other documents; independently compose, sign, and mail routine materials essential to daily HR operations.
- Create and maintain charts and graphs in Excel and PowerPoint for STA Board and committee presentations, as well as internal quality control purposes.
- Proof, edit, and prepare materials (public and confidential) for the HR Department; handle information requests from other transit agencies and public entities.
- Prepare salary surveys, gather data from external sources, and develop market reports to aid management in compensation decisions and trends analysis.
- Provide administrative support to monitor the HR Department, including Safety, Security, and Training performance.
- Assist with wage and salary administration, including job descriptions, job analyses, and compensation and benefit information; support reorganizations or reclassifications as directed by the Director.
- Maintain the Director’s confidential correspondence and technical files, manage email, and oversee a centralized filing system for the department.
- Coordinate training, arrange travel, hotel reservations, and meeting registrations for the Director and other department staff; track travel costs and related records.
Requirements
- Prior experience in Human Resources.
- Prior experience as an Executive Assistant.
- Proficiency with Microsoft Office, with emphasis on Excel.
- Experience managing travel arrangements and processing invoices.
- Excellent organizational and time-management skills.
- Five years of progressively responsible clerical and secretarial work experience.
- Vocational or business education may substitute for up to two years of the required experience on a year-for-year basis.
