Job Description

Olivers Market invites an organized and compliant Leave of Absence Specialist to manage employee leave programs onsite in Santa Rosa, CA. This role acts as the primary contact for employees on leave, coordinating various programs such as FMLA, CFRA, PDL, PFL, ADA, and other approved leaves. Compensation is USD 30 to 33 per hour, and a minimum of three years of relevant experience is required, with an associate or bachelor’s degree in HR, business administration, or a related field preferred.

Responsibilities

  • Process, track, and manage leave requests in accordance with FMLA, ADA, California leave laws (CFRA, PDL, PFL, SDI, FEHA, WC) and company policies.
  • Serve as the primary point of contact for employees requesting or currently on leave.
  • Review and process leave requests promptly and accurately.
  • Maintain ongoing communication with employees, managers, HR, and third-party administrators throughout the leave cycle.
  • Track leave balances, durations, and return-to-work dates.
  • Coordinate return-to-work processes, including accommodations when applicable.
  • Maintain precise and up-to-date leave records in HRIS or leave management systems.
  • Educate employees and managers on applicable leave policies and procedures.
  • Support HR initiatives related to wellness, absence management, and employee relations.
  • Assist in policy development and recommend process improvements for LOA administration.
  • Support the HR Manager with special projects and process improvements.
  • Perform other duties as assigned.

Requirements

  • Strong attention to detail and excellent organizational skills.
  • Professional verbal and written communication with employees at all levels.
  • Ability to handle sensitive employee information with discretion.
  • Knowledge of FMLA, ADA, and other federal/state leave laws.
  • Proficiency with Microsoft Office Suite (Excel, Word, Outlook); experience with HRIS and leave management systems (Dayforce, Sage HRMS, Workday, ADP, Kronos).
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Bilingual in English/Spanish is required.

Position Summary

The Leave of Absence Specialist administers employee leave programs in alignment with federal, state, and local laws as well as company policies and procedures. The role ensures compliance, effective communication, and a smooth process for employees requesting and taking leave, including FMLA, CFRA, PDL, PFL, ADA, personal leave, military leave, and disability programs as applicable.

Physical Requirements / Work Environment

  • Regularly required to talk or hear.
  • Frequently required to sit and use hands to operate a keyboard or mouse, handle phones, files, and paperwork.
  • Occasionally required to stand, walk, and reach with hands and arms.
  • Occasionally bend and twist at the waist and neck, and lift or move up to 20 pounds.
  • The office environment typically features a moderate noise level; there may be intermittent noise in warehouse areas.
