Job Description
The Talent & People Operations Coordinator (Temp-to-Perm) supports Premier Nutrition’s People team by coordinating interview logistics, improving candidate experience, and managing preboarding and onboarding details. This hybrid role in Emeryville, CA also provides administrative support and helps keep key People operations systems and calendars up to date.
Location, Schedule, and Pay
- Location: Emeryville, CA (hybrid)
- Pay Rate: USD 38 per hour (W2 basis)
- Duration: 3 to 6 months with potential to convert to full-time
Role Overview
Reporting to the Associate Director, People Operations, the Talent & People Operations Coordinator coordinates interview scheduling and candidate experience, manages preboarding and onboarding logistics, and delivers administrative support to the People team.
Interview Coordination and Candidate Experience (60% of time)
- Coordinate interview scheduling across multiple roles by aligning calendars between candidates, hiring managers, and interview panels
- Act as a point of contact for candidates throughout the interview process, ensuring timely and friendly communication
- Meet and greet candidates upon arrival in the office
- Order lunch for candidates and interviewers as needed
- Manage travel for non-local candidates
- Flag scheduling conflicts and help resolve them
- Prepare interview agendas, candidate communications, and interview materials; distribute materials to interview panels
- Support the candidate experience from offer acceptance through the first day
Preboarding Coordination (15% of time)
- Help set up first day for new hires in partnership with the People Operations Specialist
- Coordinate pre-boarding logistics including paperwork, background checks, equipment setup, account provisioning, and welcome communications
- Deliver first day swag as part of welcome communications
- Coordinate first week onboarding sessions
- Help create a warm first-day and first-week experience
- Support collection of onboarding feedback and help set up new member mix and mingle events
- Coordinate and schedule employee events, including Group Onboarding sessions 2x per year, in partnership with the Culture Experience program manager
People Admin Support (15% of time)
- Support the People team with schedule and coordination of logistics for trainings and team meetings (including external and internal workshops)
- Administer job description updates in systems and ensure proper archival
- Manage a shared scheduling mailbox and calendar
- Schedule 6-month check-ins for the SVP, People and new hires
- Answer routine employee questions and route requests appropriately
- Partner with the People Ops Specialist to maintain and update internal People resources (Builder’s Central FAQs, annual holiday schedule, and payroll calendars)
- Maintain the company org chart
- Update necessary partners on job-related changes affecting systems and access, including manager changes and terminations
- Serve as backup support to the People Ops Specialist with Paycor administration, compliance, and related system maintenance
- Support employee lunch service administration (Fooda) including setting up new employees, removing terminated employees, and updating daily restaurant displays
- Add company meetings, events, and holidays to new hire calendars
- Track the list of current temporary employees
Special Projects (10% of time)
- Coordinate and support company events, team celebrations, and engagement activities in partnership with the Culture and Philanthropy Program Manager
- Step in to support Front Office reception in the absence of the Office manager
- May support off-site coordination in partnership with other EAs
- May be assigned additional projects to support development and provide exposure to other areas of the People team
Required Education
- Bachelor’s degree or equivalent work experience
Qualifications
- 0 to 1 years of professional experience (internships, campus involvement, or relevant coursework welcome)
- Strong organizational skills and comfort managing multiple calendars and priorities
- Excellent written and verbal communication skills
- High attention to detail and reliable follow-through
- A service mindset and interest in helping people have a good experience
- Comfort learning new tools quickly, including ATS and HRIS and scheduling software
- Must have experience calendaring interviews and/or meetings at a high volume using Microsoft applications or similar platforms
- Demonstrated success addressing last-minute scheduling conflicts while maintaining high customer service
- Experience working with Senior leadership
- Ability to juggle competing priorities and work in an environment with multiple distractions
- Advanced Microsoft Office suite skills
- Ability to work on tight deadlines
- Builder mindset with ability to identify improvements and efficiency gains
Preferred Qualifications
- Coursework or internship experience in HR, business, or communications
- Experience helping plan events through school, club, or work
- Exposure to G Suite, Microsoft Office, or similar tools
- Interest in growing in the field of HR, including recruiting People Ops or broader People team support over time
- Familiarity with LinkedIn Recruiter, job boards, or other sourcing platforms
