Bilingual Human Resources Administrative Assistant
Job Description
Profloors, based in Hayward, California, is seeking a bilingual Human Resources Administrative Assistant to join our onsite team. This role blends HR support with payroll and benefits administration, along with general office coordination, providing hands-on exposure to payroll processing, employee services, and HR documentation. The position offers an hourly rate in the $28 to $30 range and requires a minimum of two to three years of payroll processing experience, with Spanish bilingual proficiency required.
Responsibilities
- Process bi-weekly payroll for hourly staff
- Verify timecards, attendance records, and payroll data for accuracy
- Monitor hours, sick leave, vacation, and other time off
- Assist with payroll corrections and respond to employee payroll inquiries
- Maintain payroll records and related supporting documents
- Collaborate with management to meet payroll deadlines
- Support onboarding of new hires and prepare new-hire paperwork
- Maintain employee personnel files and HR records
- Support benefits administration, including enrollments, changes, and employee inquiries
- Assist employees with benefits forms and general HR inquiries
- Coordinate open enrollment and communicate with employees
- Maintain confidentiality of employee and company information
- Support HR projects, compliance initiatives, and training programs
- Provide general office and administrative support to management
- Answer phones and emails and assist with internal communications
- Prepare reports, spreadsheets, and employee documentation
- Organize and maintain company records and filing systems
- Assist with scheduling meetings, ordering office supplies, and other tasks
- Enter new hires into the Ease HRIS platform as part of onboarding
- Address benefit issues that arise between employees and providers
- Support open enrollment administration and employee communications
- Maintain benefit records and payroll deductions related to benefits
- Coordinate new-hire benefit eligibility and enrollment paperwork
Requirements
- Two to three years of payroll processing experience is required
- Prior administrative or office experience is preferred
- HR experience is a plus, with training provided for the right candidate
- Strong organizational and multitasking abilities
- Meticulous attention to detail and accuracy
- Ability to handle confidential information professionally
- Strong written and verbal communication skills
- Proficient in Microsoft Office, especially Excel and Outlook
- Ability to work in a fast-paced environment and meet deadlines
- Experience with payroll systems or HRIS platforms
- Experience working with hourly employees and timekeeping systems
- Spanish bilingual proficiency is required
- Valid driver’s license and being insurable is required
