Job Description

The Human Resource Director at ODD Fellows Home of Massachusetts oversees human resources, payroll, employee relations, and personnel administration for the facility, ensuring compliance with employment laws and maintaining confidential records while supporting department managers.

Compensation

Salary: USD 75,000 per year

Education and Qualifications

Associate degree is required; a bachelor’s degree is preferred. Human Resources certification (SHRM-CP, PHR, or equivalent) is preferred.

Requirements

  • Associate degree in Accounting, Business Management, Human Resources, or a related field required; bachelor’s degree preferred.
  • HR certification (SHRM-CP, PHR, or equivalent) preferred.
  • Prior payroll processing experience preferred.
  • Experience in long-term care or healthcare Human Resources preferred.
  • Strong knowledge of payroll systems, employment law, employee relations, and benefits administration.
  • Proficiency with Microsoft Office and HR/payroll software.
  • Excellent organizational, communication, and problem-solving skills.

Responsibilities

  • Lead planning, development, implementation, and ongoing improvement of the Human Resources function.
  • Create and maintain personnel policies, procedures, employee handbooks, job descriptions, and performance evaluation tools.
  • Maintain complete, confidential personnel records for employees and volunteers in line with HIPAA, privacy regulations, and facility policies.
  • Manage employment applications and personnel files; verify I-9 documentation in accordance with federal regulations; handle employment verifications.
  • Chair the Personnel Committee and generate special reports as requested by administration.
  • Coordinate recruitment and hiring with department managers; review staffing requests and assist with candidate selection; schedule interviews and conduct reference checks.
  • Verify professional licenses, certifications, Nurse Aide Registry status, and other required credentials; process CORI/background checks for prospective employees.
  • Coordinate new employee orientation, explain facility policies, and present benefits as needed; educate new hires about payroll, timekeeping, I-9, W-4, and other employment documentation.
  • Create and maintain employee personnel files; enter new hire information into HR and payroll systems; enroll new employees in the timekeeping system and register fingerprints.
  • Assist managers with employee performance evaluations; prepare annual and 90-day evaluation packets and ensure timely completion.
  • Generate wage increase recommendations and process approved salary adjustments.
  • Counsel employees on workplace issues and administer disciplinary actions when appropriate; ensure grievance policies are consistently implemented and maintained; maintain grievance documentation securely.
  • Conduct employee exit interviews; process separations and terminations in accordance with facility policies and applicable employment laws.
  • Assist the Infection Control Nurse with maintaining employee health records; ensure compliance with health record requirements.
  • Maintain compliance with all applicable employment laws, regulations, and facility policies; uphold confidentiality of employee information at all times.
  • Monitor Workers' Compensation claims and coordinate communication between employees and insurance carriers; manage unemployment claims and represent the facility during hearings.
  • Process biweekly payroll accurately and on schedule; enter employee data, wage adjustments, deductions, accruals, and status changes into the payroll system; process leave requests and correct timekeeping discrepancies.
  • Calculate retroactive pay adjustments and final accruals for terminated employees; generate Time Detail Reports for manager approval; verify payroll reports for accuracy prior to submission.
  • Transmit payroll data to the payroll processing company; investigate payroll discrepancies and resolve employee payroll concerns; process manual payroll checks when required.
  • Receive and distribute payroll checks and related documentation; complete payroll reconciliations and journal entries; process tax deposits and perform monthly payroll bank reconciliations.
  • Review and manage employee benefit programs; reconcile monthly insurance invoices with payroll deductions; investigate discrepancies and implement necessary adjustments; communicate benefit information to employees as needed.
  • Assist in preparing the HR department budget; supervise reception staff, including hiring, training, scheduling, and performance evaluations.
  • Maintain organized financial and personnel records; prepare periodic reports for administration; uphold a professional appearance and demeanor.
  • Communicate effectively with employees, department managers, administration, accountants, auditors, and outside agencies; observe facility safety and infection control procedures; uphold Resident Rights policies.
  • Demonstrate professionalism, accountability, dependability, and confidentiality; perform additional duties as assigned.
