Job Description

The Human Resources Administrative Assistant provides essential on site HR support in Lake Oswego, OR, handling employee data, benefits processing, interview coordination, events, and travel logistics.

Responsibilities

  • Provide support across HR functions including benefits administration, outreach initiatives, recruiting, and talent development activities.
  • Maintain accurate employee records within the HR information system.
  • Assist employees with benefit enrollment data entry and respond to basic plan questions.
  • Resolve routine benefits issues and escalate complex matters as needed.
  • Coordinate interviews and manage candidate communications.
  • Review HR invoices and prepare them for processing.
  • Support the Outreach Coordinator with event planning and interview scheduling.
  • Manage HR email inboxes and respond to inquiries.
  • Maintain the team calendar and assist with scheduling and travel logistics for the team.
  • Schedule meetings and provide support for HR events as required.
  • Prepare and submit team expense reports with accuracy and timeliness.
  • Prepare materials for training sessions and outreach activities.
  • Handle sensitive and confidential information with discretion.

Requirements

  • High School Diploma or GED required.
  • Proficiency in Windows and Microsoft Office 365 (Excel, Word, Outlook, PowerPoint, and Teams) and a general understanding of working within a computer network.
  • Familiarity with labor laws and compliance standards such as the Family Medical Leave Act is preferred.
  • Ability to maintain a collaborative, professional demeanor under pressure.
  • Strong time management and multitasking skills, with the ability to handle frequent interruptions and shifting priorities.
  • Excellent written and spoken communication with the ability to build positive working relationships.
  • Comfort working in a large professional environment; patience and professionalism are essential.
  • Demonstrated teamwork and the ability to collaborate across departments and levels of leadership.

Education

Required: High School Diploma or GED.

Salary

Salary range: USD 50,000 to 65,000 per year, depending on experience.

Physical and Mental Requirements

  • Combination of standing, walking, and sitting throughout the workday.
  • Climbing stairs required occasionally, about 5 percent of the day.
  • Constant use of hands and fingers for keyboard and mouse operations.
  • Visual acuity across near, mid, and far ranges with color and depth perception, and hand-eye coordination.
  • Hearing sufficient to perceive conversational levels in person and over the phone; clear speech for meetings and calls.
  • Minimal bending, twisting, kneeling, or crouching.
  • Constant mental alertness, accuracy, and attention to detail.
  • Ability to work independently, make decisions, and follow through on assignments.
  • Use of creativity, independent judgment, and organizational skills to determine effective approaches to tasks.
  • Strong organizational and computer skills with proficiency in English for reading, writing, and communication with coworkers.
