Job Description

The Administrative Assistant II, Human Resources at McHenry County College provides operational and administrative support for HR processes, manages employee data in the Colleague HRIS, and coordinates meetings, invoicing, and visitor relations on site in Crystal Lake, IL.

Compensation and Location

Location: Crystal Lake, IL (onsite)

Compensation: USD 25 - 36 per hour

Responsibilities

  • Provide advanced administrative support to the Administrator, Department Chairs and faculty within the assigned department or division.
  • Deliver exceptional customer service to employees, students, and external stakeholders while maintaining smooth office operations.
  • Efficiently handle a variety of administrative duties that support the division.
  • Offer essential operational and administrative support to ensure HR processes run smoothly.
  • Maintain accurate employee data in the Colleague HRIS, including processing new hires, terminations, transfers, and updates to records such as name and address changes.
  • Manage financial tasks, including processing invoices and credit card billing.
  • Serve as a key point of contact for HR visitors, support I-9 employment eligibility verification, and coordinate meeting logistics by scheduling, preparing agendas, and recording notes.
  • Submit work orders to Facilities and IT, order office supplies, respond to employment verification requests, and monitor and respond to inquiries in the HR inbox.
  • Demonstrate strong attention to detail, organization, and customer service to sustain a responsive HR function.

Requirements

  • Minimum 3 years of related experience.
  • Associate’s degree.
  • Ability to manage calendars at the director level or above.
  • Ability to assess situations and bring them to the Dean appropriately.
  • Strong customer service orientation.
  • Technological orientation, including the ability to learn new computer applications, including the College ERP.
  • Ability to handle complex and/or stressful situations with professionalism.
  • Thorough knowledge of modern office technology and procedures.
  • Interest and ability to continuously improve processes.
  • Ability to work independently with minimal supervision and take initiative to resolve or complete duties in a timely manner.
  • Ability to work and communicate effectively with a wide range of coworkers, applicants, students, community members, and vendors.
  • Ability to maintain confidentiality, discretion and integrity.
  • Advanced written and oral communication skills.
  • Proven problem-solving skills.
  • Ability to work efficiently, effectively and accurately with a strong sense of timeliness.

  • Ability to safely handle push/pull carts up to 40 pounds and lift up to 25 pounds unassisted.

Supplemental Information

  • Associate’s degree from a regionally accredited institution or equivalent, specialized training and/or coursework
