Job Description
Swack Business Group offers a hybrid, hands-on Recruiting and Operations Coordinator role based in Carnegie, PA. You will own the end-to-end hiring for a defined portfolio of 2-3 entities within our multi-entity organization, while supporting ongoing operations across those units. This position provides a clear path to build processes, enhance candidate experiences, and contribute to a collaborative culture across multiple industries. The compensation ranges from $19.00 to $21.00 per hour, and the benefits package supports your financial security and wellbeing. The hybrid arrangement is 3 days in the office and 2 days remote.

Responsibilities
- Pipeline management: draft, post, and refresh job advertisements across multiple platforms; monitor candidate flow and ad performance to optimize spend and reduce waste.
- Candidate screening: act as the gatekeeper for hiring managers, review inbound resumes against core requirements, and conduct high-volume phone screens to assess fit, availability, and baseline qualifications.
- Interview coordination: schedule phone, video, and in-person interviews between qualified candidates and District/Hiring Managers.
- Onboarding assistance: manage the end-to-end new hire paperwork process.
- Job cost reporting: collect, compile, and input payroll and material costs tied to specific jobs/projects into spreadsheets for management reporting.
- Expense tracking: review monthly credit card statements for assigned locations, classify charges accurately, and follow up on unidentified expenses.
- Process building and master data: maintain master spreadsheets tracking company accounts, utility logins, property details, and vehicle registrations; document step-by-step SOPs for assigned entities.
- Vendor and supply management: serve as the primary contact to coordinate repairs (HVAC, plumbing, IT outages) for assigned locations and proactively order and manage office, facility, and marketing supplies.
Requirements
- 1+ year of professional experience in recruiting coordination or operations management; office management experience (1 year) is preferred.
- Strong phone presence with the ability to assess candidate aptitude and fit during initial screening calls.
- Proficiency with spreadsheets (Excel and/or Google Sheets), including data formatting, basic formulas, and data organization.
- Excellent problem-solving skills; resourceful and capable of independently locating answers (for example, locating a missing receipt, tracking a candidate, or coordinating an emergency repair).
- High attention to detail.
- Ability to commute to Carnegie, PA 15106 (required).
- Familiarity with recruiting platforms and tools; technologies include Indeed and CareerPlug, with strong proficiency in Excel/Google Sheets.
