Job Description
The Distribution Center Human Resources Coordinator is a full-time, entry-level position at The Paper Store, based onsite in Leominster, MA. The role focuses on executing people-related processes, ensuring documentation accuracy, managing scheduling, and following through on tasks, with broad exposure to People & Culture and a path toward future P&C opportunities.
Location and Compensation
Location: Leominster, MA (onsite)
Salary: USD 24 - 25 per hour
Responsibilities
- Serve as the initial point of contact for employees who raise concerns with HR.
- Collect intake information in a neutral, professional manner to understand the nature of the issue.
- Route concerns to the People Operations Manager and appropriate leaders guided by risk considerations.
- Provide administrative and logistical support for employee relations matters, including document organization, scheduling, and follow-up coordination.
- Act as a neutral witness or note-taker during meetings or interviews when appropriate.
- Manage administrative follow-through for workplace incidents after managers complete incident reports.
- Communicate upcoming safety training and certification requirements and monitor completion.
- Coordinate with internal or external trainers to schedule required safety training courses.
- Maintain accurate records for safety certifications, including forklift and hoisting certifications.
- Schedule safety meetings, prepare agendas, capture minutes, and distribute recaps.
- Support culture and engagement initiatives that cultivate an inclusive, productive, and respectful Distribution Center environment.
- Coordinate and support building-wide recognition, including tenure milestones, promotions, and career progression moments.
- Organize logistics for regularly scheduled culture and engagement activities aligned to operational priorities.
- Plan and coordinate team events that reinforce connection, inclusion, and appreciation without disrupting operations.
- Communicate engagement initiatives across the building to ensure timely and visible recognition.
- Ensure engagement efforts reach all shifts and departments equitably.
- Maintain employee files (digital and physical) in line with company standards and record-keeping requirements.
- Prepare routine employment documentation as directed by HR leadership.
- Maintain trackers, logs, and reports related to hiring, onboarding, safety training, employee relations intake, and engagement activities.
- Provide structured administrative support aligned to people processes and seasonal Distribution Center needs.
- Coordinate interview logistics for Distribution Center roles, including candidate scheduling and materials for People Leaders.
- Maintain accurate hiring trackers reflecting candidate flow, interview status, offers extended or accepted or declined, and start dates.
- Coordinate pre-employment steps following hiring decisions, including background checks, offer documentation, and onboarding readiness.
- Ensure timely communication and follow-through after interviews based on direction from the hiring manager.
- Manage onboarding logistics end to end, ensuring required paperwork, documentation, and system access are completed accurately and on time.
- Schedule and conduct new-hire orientation sessions using established company materials and processes.
- Coordinate onboarding schedules with People Leaders, trainers, and operational teams.
- Maintain onboarding checklists, records, and completion tracking.
Requirements
- Be a TPS brand ambassador.
- 0–2 years of experience in HR, administrative, or operations support roles.
- Highly organized, detail-oriented, and capable of managing multiple administrative processes simultaneously.
- Approachable and professional, able to handle sensitive information with discretion.
- Comfortable working in a fast-paced distribution center environment.
- Interested in building a career in Human Resources or People Operations.
- Bilingual candidates (Spanish/English) are strongly encouraged to apply.
- Strong organizational, communication, and time-management skills.
- Proficiency in Microsoft Office; willingness to learn HR systems.
- Must be able to work on-site at the Distribution Center.
- Physical requirements include lifting up to 50 lbs, pushing/pulling up to 100 lbs, climbing ladders, and standing/walking up to 6 consecutive hours.
- Flexibility to work varied shifts, weekends, and extended hours during seasonal peaks.
