Job Description
Fayette County Public Schools is seeking a detail-oriented Human Resources Personnel Specialist to support reporting, data management, certification processing, and salary-related activities across the district. This onsite role in Lexington, Kentucky collaborates with the Chief of Human Resources to maintain accurate personnel records, manage HR data systems, and facilitate hiring and leave procedures.
Job Summary
Perform a broad range of duties as directed by the Chief of Human Resources, including preparing federal, state, and district reports; maintaining district-wide databases; processing certification and salary information; managing HR financials; and handling additional tasks as assigned.
Responsibilities
- Support the Chief of Human Resources by gathering data for federal, state, and district reports such as EEO-5, LEAD, and board agendas.
- Coordinate planning and implementation for the personnel services component of automated data systems like MUNIS/ERP and PowerSchool.
- Handle personnel and clerical duties for administrator applicants and the hiring process, including meetings, scheduling, tracking, follow-up, and assisting in leadership development program planning (Aspiring Leadership Program 2, New Administrators’ Mentorships, New Administrators’ Orientation).
- Administer and monitor personnel procedures per employee agreements, covering new hires, transfers, assignments, and leaves.
- Communicate with applicants, employees, principals and supervisors regarding salaries, certification, retirement, evaluations and application status.
- Provide information and assistance to district personnel, staff and the public on vacancies, regulations, open records requests, policies and procedures.
- Maintain employment and other personnel records for administrators and staff under memoranda of agreement, including timely updates to electronic applicant and employee databases.
- Distribute, receive, record and maintain files for administrative applications, transcripts, fingerprints, examinations, credentials and related materials; review for completeness and compliance; schedule interviews.
- Collaborate with the Director on orientation for new administrators, provide needed information, assist with documentation, and process salary placement forms as required.
- Prepare and maintain a variety of forms, reports, bulletins, records, schedules, lists and files per established policies; verify and post information to ensure completeness and accuracy.
- Provide statistical information to the Chief of Human Resources as requested.
- Draft letters, memoranda, lists and other materials following established procedures.
- Order and maintain office supplies, orientation and workshop materials, and other project resources as directed by the Director.
- Maintain Human Resources payroll records and files.
- Demonstrate the ability to communicate in more than one language or be willing to learn at a novice level.
- Perform other duties as assigned and maintain regular attendance.

Knowledge and Abilities
- Knowledge of district personnel policies and procedures; personnel office methods and practices; district organization and objectives related to personnel activities; applicable sections of the State Education Code and related laws; record-keeping techniques; operation of office equipment; and effective oral and written communication.
- Ability to interpret and apply district policies; perform specialized duties for classified, certified and administrative personnel; maintain records and prepare reports; learn and apply applicable regulations and laws; maintain confidential materials; act within defined guidelines; communicate clearly; maintain timelines; and work independently with minimal direction.
Qualifications
- Education: High school diploma or G.E.D. Certificate
- Experience: An associate degree with three years in a comparable role involving electronic databases is preferred

- Special Requirements: Must complete all required clerical assessments and achieve a passing score
