Job Description

Casestry, LLC. is hiring an entry-level Human Resources Administrative Assistant to support the HR department with day-to-day administrative, operational, and employee services. This onsite role offers steady weekday hours, professional development assistance, and benefits that include retirement savings support, paid time off, and ongoing on-the-job training. The position includes in-person collaboration across the company’s facilities, with travel between Herkimer, NY and Canastota, NY as needed.

Responsibilities

  • Maintain employee personnel files and HR records in both electronic and paper formats, including document scanning, uploading, organizing, and storage in BOX and other company systems.
  • File, maintain, and retrieve personnel records in accordance with company policies and applicable laws, completing accurate HR data entry and recordkeeping.
  • Support audits and compliance documentation, including record retention activities.
  • Prepare HR documentation for review and approval, including offer letters, onboarding paperwork, policy acknowledgements, and I-9 documentation and other employment-related forms.
  • Assist with general payroll and benefits administration support, including employee inquiries and documentation.
  • Coordinate new-hire onboarding activities such as preparing onboarding folders, forms, and training materials, ensuring documentation is completed and properly filed.
  • Support offboarding activities and maintain employee records for employment status changes and required documentation updates.
  • Coordinate and track employee training programs, maintain training records, and monitor completion of required training assignments.
  • Follow up with supervisors and employees regarding required training completion, and prepare training certificates and recognition documentation as needed.
  • Assist recruitment-related administrative support, including coordinating participation in career fairs, community events, and workforce development initiatives.
  • Support employee recognition, engagement activities, and workplace culture or appreciation initiatives, including touchpoints that help HR leadership gather employee feedback.
  • Serve as a professional point of contact for employee questions and administrative HR inquiries while maintaining confidentiality and professionalism.
  • Draft internal communications, employee announcements, policy updates, and informational memos for review and distribution; direct employee concerns to appropriate leadership when needed.
  • Maintain attendance records, assist with attendance tracking and reporting, and generate attendance documentation and reports upon request.
  • Support workplace compliance by communicating observations and concerns to leadership, including policy violations, safety hazards, attendance concerns, and employee issues.
  • Prepare reports, presentations, correspondence, and business documents using Microsoft Office applications and Smartsheet; maintain departmental logs and administrative records.
  • Support office operations such as scheduling meetings, coordinating events, and ordering office, kitchen, and operational supplies within budget guidelines.
  • Provide administrative support to HR leadership and other departments as assigned, including travel between facilities for HR, engagement, training, recruiting, onboarding, compliance, and administrative initiatives.

Requirements

  • Associate’s degree required.
  • Highly organized with exceptional attention to detail.
  • Strong verbal and written communication skills, with excellent interpersonal and customer service abilities.
  • Ability to maintain strict confidentiality and handle sensitive information appropriately.
  • Strong time management, prioritization, and multitasking skills; ability to work independently while managing multiple deadlines.
  • Proficiency in Microsoft Word, Excel, Outlook, and related business applications.
  • Ability to exercise sound judgment and professionalism in employee interactions; ability to observe workplace conditions and appropriately escalate concerns.
  • Working knowledge of company policies and procedures or ability to quickly develop comprehensive knowledge of organizational policies.
  • Demonstrated ability to work effectively in a fast-paced environment while staying calm under pressure; willingness to learn, accept feedback, and develop new skills.
  • Ability to build positive working relationships with employees at all levels.
  • Ability to sit, stand, and walk for extended periods; conduct routine walkthroughs throughout office, warehouse, and production areas.
  • Ability to use a computer, keyboard, and standard office equipment for prolonged periods; ability to lift and carry materials and supplies as needed.
  • Reliable transportation to commute and travel between company locations for essential job functions.
  • Commute required: Herkimer, NY 13350.
  • Open availability 8:00 A.M. to 5:00 P.M. Monday through Friday, with evening and weekend flexibility for occasional functions.

Schedule

  • Regular availability Monday through Friday between 8:00 A.M. and 5:00 P.M.
  • Flexibility is required to support business needs; occasional need to start up to 30 minutes earlier or remain up to 30 minutes later for event setup, breakdown, employee activities, training sessions, recruiting events, or other initiatives.
  • Limited evening or weekend work may be required periodically for career fairs, recruiting activities, employee engagement events, training programs, or other business-related functions; advance notice will be provided whenever possible.

Location and Travel

Work location: In person. The role is based in Herkimer, NY and includes travel between Herkimer, NY and Canastota, NY to support HR programs, employee engagement, training, recruiting, onboarding, compliance, and administrative initiatives. A regular presence at both locations is required, and participation in off-site meetings, career fairs, training events, and company functions may be necessary.

Salary

USD 23 - 27 per hourly.
