Human Resources Administrator
Job Description
Provides support to the Sr. Manager, HR Distribution, and serves as backup for the Texas distribution HR team across all personnel areas; manages payroll and employment data functions using UKG (UltiPro) HRIS and ensures compliance with applicable laws and Company policies and procedures.
Responsibilities
- Prepare and execute HRIS reporting and data cleanup to maintain data integrity.
- Maintain accurate, up‑to‑date HR files, records, and documentation.
- Input and maintain all employee information in the HR database (new hires, benefits, status changes, terminations) and maintain a complete, current employee database.
- Generate weekly, monthly, and year‑end reports such as headcount, organizational charts, benefits costs, benefit enrollment, and new hires as requested.
- Administer the Rural Hall, NC benefit program day to day, including processing invoices, gathering information for the HR Manager, and responding to broker questions.
- Assist in preparing census data, open enrollment documentation, and communications for annual benefit elections.
- Support Corporate HR by collecting data for annual benefit audits.
- Ensure OSHA reporting functions are current and compliant with federal regulations.
- Maintain HIPAA and privacy/confidentiality requirements in all activities.
- GPS the weekly payroll process for Rural Hall, including collecting, verifying, and processing time worked; ensure payroll accuracy and timeliness.
- Serve as the primary contact for staffing agencies, coordinating temporary staffing needs, onboarding, terminations, and ongoing support while aligning with operations and standards.
- Input employee information into the HR payroll database (new hires, benefits, terminations, status changes).
- Prepare new employee files, ensure all requirements are met and forms completed.
- Maintain HR files and records in compliance with legal requirements and company policies.
- Process simple employment verification requests.
- Provide customer service by addressing basic employee policy questions and escalating as needed.
- Participate in evaluating and updating HR policies, goals, processes, and procedures; recommend new approaches to improve efficiency; assist with HR plans for Rural Hall employees.
- Reconcile benefits and other invoices.
- Assist in gathering information for department budget preparation and scheduling department meetings as needed.
- Assist with annual Open Enrollment documentation and communications; help employees enroll online.
- Contribute to planning and execution of annual activities, including outings, holidays, flu shots, and fundraising initiatives.
- Support administration and day‑to‑day operations of the employee incentive store program.
- Assist with various projects for HR Distribution and Corporate Office as needed.
- Prepare internal and external correspondence as required.
- Perform clerical functions as needed to support the HR team.
- Provide backup support for the Texas HR team to cover all personnel functions as needed.
- Performs other duties as required and assigned.
Requirements
- Associates Degree with a minimum of two years of HR experience required; HR Certificate preferred.
- Strong organizational and time management skills; dependable, adaptable to change, able to multitask, and maintain strict confidentiality.
- Solid PC skills with Microsoft Office (Excel, Access, Word, Outlook, PowerPoint); experience with HRIS and payroll systems (UltiPro) is required; ability to run reports, export to Excel, and manipulate data as needed.
- HIPAA and privacy/confidentiality awareness.
- Ability to read, analyze, and interpret business materials and government regulations; strong verbal and written communication skills.
- Bilingual English and Spanish is preferred but not required.

Environmental Factors and Physical Demands
- Use of computer monitor, keyboard, and mouse; some manual lifting required for events.
- Must be able to push, pull, and lift cartons up to 20 lb or up to 50 lb with a dolly.
