Job Description

The Human Resources Assistant Specialist supports multiple functions within a human resources department, with emphasis on recruitment administration, employee and labor relations support, and ATS/VMS operations. This onsite role at GDKN is based in Yarmouth Port, MA, supporting HR teams through reporting, troubleshooting, and recruiting-related coordination.

Key Responsibilities

  • Assist with core HR functional areas, which may include recruitment and employment support, employee and/or labor relations activities, and special projects connected to workforce planning.
  • Oversee Applicant Tracking System (ATS) and/or Vendor Management System (VMS) administration, including ATS/VMS support for regional, country, and corporate HR teams.
  • Run reports and provide ATS/VMS support by collaborating with HR teams and stakeholders.
  • Monitor job requisitions in the ATS/VMS and submit new requisitions in the Vendor Management System (VMS), including contingent worker needs in IQNavigator (IQN).
  • Manage requisitions in the VMS, including contacting hiring managers to request additional information for approved requisitions.
  • Troubleshoot issues based on end-user requests and support system users with guidance and problem resolution.
  • Act as a subject matter resource to HR leads/teams and external candidates, including support with system setup and related issues.
  • Provide training to system end users and process owners.
  • Communicate system information to HR and hiring teams to support recruiting operations.
  • Support workforce planning reporting by working with HR teams to develop data elements, provide access to evaluation data against defined targets, and reduce ad hoc report generation.
  • Create and distribute reports to business units covering requisition, recruiting, and hiring activity.
  • Select and review candidates for direct hire candidates only, identifying candidates with basic qualifications and forwarding selected resumes to the hiring manager for review.
  • Follow up with hiring managers regarding selected candidates, interview results, and hiring progression.
  • Conduct an HR fit phone interview to support selection of candidates for open positions.
  • Coordinate necessary assessments and coordinate functional interviews with the hiring manager through local HR contacts.

Expense Reimbursement

  • Reimburse approved job-related expenses (such as mileage and travel-related meals) after approval by the Expense Approver to the Resource.
  • Ensure approved expenses align with established Expense guidelines.

Work Schedule and Location

  • Work approximately 40 hours per week, with the ability to work overtime as needed.
  • Flexibility is required for locations and district assignments as needed.
  • Role is onsite (in person) at the work location.

Required Qualifications

  • 2+ years of experience in the field or a related area.
  • Associate's degree preferred (or equivalent experience).
  • Some knowledge of employment laws.
  • Effective communication skills.
  • Recruitment experience.
  • ATS experience: 2 years required.
  • VMS experience: 2 years required.

Compensation

  • $28.00 to $30.60 per hour
