Job Description

The Human Resources (HR) Coordinator provides day-to-day operational support for the Office of Human Resources at Anne Arundel Community College. This onsite role supports multiple HR functional areas, coordinates HR records and communications, and serves as the Time and Leave Recording administrator.

Responsibilities

  • Record all college-approved FMLA continuous/intermittent cases and STD cases.
  • Review time entry bi-monthly and submit updates in the appropriate timekeeping platform.
  • Prepare last day and COBRA letters.
  • Calculate leave balances of outgoing employees and provide the totals to payroll.
  • Notify college personnel of resignations and terminations.
  • Create and prepare correspondence and materials supporting HR functions, including formatting and/or distributing job descriptions, new hire materials and folders, memos, and personnel action forms.
  • Complete new hire forms and update tracking logs.
  • Complete employment verifications from outside requesters according to established procedures.
  • Respond to subpoena requests as needed.
  • Review the daily automated obsolete supervisor report and request or update supervisory changes appropriately.
  • Process incoming departmental supervisor changes.
  • Maintain the Manager/Supervisor distribution list and conduct quarterly audits for accuracy.
  • Maintain and update HR electronic forms to meet college standards, including accessibility.
  • Submit requests to Strategic Communications to update HR Internet web pages as needed.
  • Maintain the HR Intranet site, reviewing it regularly and implementing additional updates requested by HR office staff.
  • Maintain appropriate files (paper and/or electronic) for correspondence, reports, personnel records, confidential files, and other HR documents for the assigned area.
  • Perform annual archival procedures and ensure recordkeeping procedures comply with applicable state and federal legislation.
  • Prepare the monthly HR status report, send monthly notifications, and add data for assigned report areas.
  • Create and edit the HR weekly newsletter and other related publications.
  • Manage the HR budget and budget accounts by producing monthly expense reports, creating purchase orders and requisitions, researching budget discrepancies, and generating budget transfers.
  • Process and reconcile monthly procurement card expenditures for the Human Resources team.
  • Receive goods in Unimarket and submit invoices for payment.
  • Serve as the time and leave recording system college liaison/administrator and provide oversight.
  • Create, assign, and maintain leave codes; add, edit, or modify leave entries; correct negative leave balances and discrepancies.
  • Provide instructions to employees and supervisors, including web clock essentials and how-to guides; ensure proper supervisor assignment not viewable by the employee.
  • Assist with error message questions, user role creation/assignment, issues with leave not importing from Colleague, and provide guidance/training on how to view and understand the dashboard.
  • Track leave entries in designated time recording logs; run requested accrual usage reports for managers and supervisors.
  • Run monthly audit reports to capture employees not found in the system or employees missing leave allotments.
  • Support Talent Acquisition by attending job fairs and recruitment events as needed.
  • Support compensation functions by completing salary placement worksheets, assisting with the salary increase process, and assisting with annual salary surveys.

Required Qualifications

  • Associate's degree
  • Minimum 5 years of high-level administrative support experience, including at least 2 years of direct Human Resources experience.
  • Advanced computer skills with high proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • High proficiency with administrative database software systems, familiarity with HR tracking systems, and applicant tracking systems.
  • Excellent oral, written, and interpersonal communication skills, including grammar, spelling, punctuation, editing, proofreading, and accuracy.
  • Ability to handle multiple tasks efficiently and effectively and work independently and collaboratively in a team-oriented environment.
  • Ability to handle sensitive and confidential materials with discretion and tact.

Preferred Qualifications

  • Time and attendance systems experience preferred.
  • Video conferencing experience (Zoom, Microsoft Teams) and management preferred.
