Job Description

Mark Jacobson Toyota in Durham, NC is seeking a part-time Human Resources Generalist to join their onsite team. This opportunity offers a flexible weekday schedule around 20 hours per week with an option to shift to full-time during the holiday period (mid November through mid February). You will provide essential HR support across payroll, onboarding and offboarding, benefits administration, recruiting, recordkeeping, and compliance, while delivering dependable service to employees and managers.

This role emphasizes accuracy, confidentiality, and strong customer service in a fast-paced dealership environment. You will help ensure HR processes are completed on time and in compliance, with responsible handling of sensitive information and a focus on employee experience.

Position overview

The Human Resources Assistant provides administrative and operational support for the HR department. Responsibilities include payroll processing support, onboarding and offboarding, benefits administration, recruiting, recordkeeping, and compliance tasks to keep HR processes precise and timely, while delivering excellent service to employees and managers.

Responsibilities

  • Verify timecards for accuracy.
  • Support biweekly payroll processing.
  • Handle payroll corrections and off cycle payments.
  • Prepare payroll reports and maintain payroll records.
  • Electronically file payroll documentation.
  • Assist with retirement plan and HSA contributions.
  • Distribute payroll checks as needed.
  • Post job openings on recruiting platforms.
  • Coordinate interviews with hiring managers.
  • Initiate background checks, motor vehicle records, and drug screening requests.
  • Prepare pay plans and onboarding materials.
  • Communicate with candidates through each stage of the hiring process.
  • Prepare new hire paperwork and electronic personnel files.
  • Complete I-9 verification and maintain compliance.
  • Create employee accounts in company systems.
  • Assist new hires with email, HRIS access and required software.
  • Coordinate orientation and facility tours.
  • Order uniforms and name badges as needed.
  • Process employee separations.
  • Disable system access and collect company property.
  • Organize terminated employee files.
  • Coordinate final paperwork and benefit notifications.
  • Assist with benefit enrollments and changes.
  • Process life event qualifying requests.
  • Respond to employee benefit questions.
  • Coordinate with insurance brokers as needed.
  • Assist during annual Open Enrollment.
  • Process retirement plan changes.
  • Monitor eligibility for benefits and programs.
  • Assist employees with retirement plan questions.
  • Maintain accurate employee personnel files.
  • Scan and electronically file HR documentation.
  • Maintain confidential HR records.
  • Order employee apparel and recognition items.
  • Coordinate flowers or gifts for life events.
  • Prepare HR reports and spreadsheets.
  • Maintain HR calendars and schedules.
  • Collect and maintain workers' compensation documentation.
  • Report workplace injuries as directed.
  • Maintain OSHA logs and related records.
  • Coordinate communication between employees and workers' compensation carriers.
  • Maintain I-9 records and personnel files.
  • Assist with employment law compliance documentation.
  • Maintain confidential HR records in line with company policies.
  • Support HR audits as assigned.
  • Assist with DMV licensing and dealer plate administration.
  • Provide excellent customer service to employees and managers.
  • Support special HR projects as assigned.
  • Perform other administrative duties as needed.

Requirements

  • High school diploma required.

Qualifications

  • Associate's degree in Human Resources, Business, or related field preferred.
  • Minimum of 2 years of HR experience preferred.
  • Payroll or benefits administration experience is a plus.
  • Experience with ADP or similar HRIS preferred.
  • Proficiency in Microsoft Office, especially Excel and Outlook.
  • Excellent organizational skills with strong attention to detail.
  • Ability to maintain confidentiality and handle sensitive information.
  • Strong written and verbal communication skills.
  • Ability to prioritize multiple tasks in a fast-paced environment.
