People Operations Compliance Coordinator
Job Description
Boys & Girls Clubs of the Peninsula is seeking a detail-oriented professional to oversee compliance across both employee and volunteer programs, ensuring data integrity and audit-ready records. This hybrid role in Menlo Park collaborates with the People Operations and Volunteer teams to uphold policies, regulatory standards, and smooth operational workflows.
Responsibilities
- Oversee the administration and tracking of employee compliance items such as I-9s, trainings, certifications, and acknowledgments, ensuring accuracy, timeliness, and audit readiness
- Monitor expirations for certifications, work permits, and trainings, including transitions for teen staff turning 18, with timely follow-up and remediation
- Maintain alignment with California law, BGCA standards, and organizational policies; monitor regulatory updates and propose improvements
- Support internal, external, and regulatory audits by keeping documentation complete, accurate, and readily accessible
- Audit and maintain HRIS and related systems to preserve data integrity through regular updates and documentation
- Maintain confidential employee records, including status, roles, and organizational data
- Keep personnel files in line with organizational policy and record retention requirements
- Manage policy lifecycle activities, including handbook updates, distribution, and acknowledgment tracking
- Assist onboarding and offboarding by ensuring required documents and system updates are completed and audit-ready
- Partner on unemployment insurance, document review, and claims processing
- Support workers’ compensation processes and accommodations and return-to-work efforts, ensuring accurate documentation and data integrity
- Maintain accurate tracking for volunteer and external partner compliance, including background checks, TB documentation, and required trainings
- Continuously monitor regulatory updates and conduct audits to sustain adherence to California law, BGCA standards, and BGCP policies, implementing process enhancements
- Conduct regular audits of volunteer documentation and compliance status in partnership with the Volunteer Team
- Develop resources and visual guides to improve understanding of compliance requirements
- Assist in facilitating volunteer compliance training and orientation sessions, in-person and virtual
- Respond to compliance inquiries from volunteers, staff, and external partners
- Help create, maintain, and refine reports, dashboards, and analyses to inform internal communication and data-driven decisions
- Produce and maintain compliance, audit, and workforce reports; track trends and identify opportunities for improvement
- Collaborate with cross-functional teams to codify processes and ensure alignment with compliance requirements
- Work with the People Team to ensure consistency in processes and systems
- Provide guidance on compliance-related processes and identify opportunities to improve workflows, systems, and operational efficiency
- Perform additional relevant duties as assigned to support evolving organizational needs, balancing volunteer compliance with people operations and seasonal demands
Requirements
- Bachelor’s degree or equivalent relevant work experience
- 3+ years of experience in compliance, People Operations, HR, Volunteerism, or related fields
- Familiarity with HR processes and compliance management tools
- Experience with HRIS systems and maintaining data integrity
- Ability to manage complex systems, audits, and processes with exceptional attention to detail
- Strong organizational and coordination skills, with the ability to manage multiple processes, timelines, and stakeholders
- Ability to handle sensitive and confidential information with discretion
- Strong written and verbal communication skills, with the ability to clearly convey processes and guidance to employees and stakeholders
- Ability to work independently and collaboratively in a fast-paced, evolving environment
- Detail-oriented with a proactive, solutions-focused approach to improving processes and the employee experience
- Strong interpersonal skills and the ability to build relationships across diverse groups
- Salesforce and/or PEO experience is a plus

- Pay Range: $25-$35/hour, depending on experience

Location
Menlo Park, CA
Work Schedule
- Typically Monday through Friday, 9:00 a.m. to 5:00 p.m., with flexibility to meet organizational needs
- In-Office Days: Mondays and the onboarding day (usually Tuesdays), occasionally Thursdays depending on scheduling
- Remote Work: Wednesdays through Fridays, though onboarding day might shift to Tuesday if needed
- Schedule subject to change to align with evolving organizational priorities
Physical Requirements and Work Environment
Primarily sedentary (about 80%), with 20% of time spent walking or standing. Occasional lifting or moving objects up to 25 pounds, as well as bending, reaching, and fine finger work. Reasonable accommodations available as needed.
