Job Description

Coordinate all pre-employment hiring processes across systems, maintaining communication with candidates, HR managers, and hiring managers, while ensuring legal compliance and adherence to company guidelines.

Responsibilities

  • Draft and circulate weekly job postings to ESC, posting positions internally and externally as appropriate.
  • Manage and coordinate the full new hire workflow from posting and application through orientation.
  • Act as on‑site administrator for the Applicant Tracking System and pre‑employment screening programs.
  • Maintain accurate requisition data, provide weekly orientation status updates, and manage the orientation calendar.
  • Keep system records and tracking to support the Affirmative Action Plan.
  • Generate employment application and applicant tracking reports, plus requested daily/weekly reports, including rehiring eligibility.
  • Draft offer letters and process pre‑employment screenings (background checks, drug testing, MVRs, credit checks).
  • Receive and track results of drug testing and background checks to clear candidates for orientation and inform the Recruiter/HR Manager of outcomes.
  • Schedule orientation after completion of all new hire tasks.
  • Send onboarding forms via Dayforce and track completion status prior to orientation.
  • Complete the NC Youth Employment Certificate process for minors.
  • Maintain files for employee referrals and sign‑on bonuses, if applicable, and forward information to Payroll on scheduled dates.
  • Conduct weekly New Hire Orientation sessions with the Director of Training, ensuring required paperwork is completed.
  • Serve as alternate trainer to facilitate orientation when needed.
  • Pre‑screen candidates and complete necessary paperwork.
  • Enter new hires into E‑Verify and board them in the system.
  • Issue new employee IDs and nametags.
  • Distribute new hire reports to appropriate departments for processing.
  • Ensure I‑9 compliance for all new hires, including proper storage, retention, and destruction of I‑9 records.
  • Input new employee information into the payroll system and coordinate with the HR Coordinator to establish personnel files.
  • Maintain employment applications and related documents in accordance with legal guidelines.
  • Coordinate records storage and secure shredding or destruction of documents as required and approved.
  • Collect and forward forms for potential tax credits.
  • Respond to inquiries and provide information to authorized personnel.
  • Aggregate data from personnel records and prepare required reports.
  • Act as the Welcome representative for visitors to the HR office and provide direction as needed.
  • Cover the HR and Housing Coordinator’s desk during absences.
  • Assist recruiters and HR managers with recruiting events, including calendar management, supplies, and advertising as requested.
  • Set up for all hiring events, new hire orientation, training, and other events as requested.
  • Assist with employee housing and J1/TN visa candidates and hires as needed.
  • Maintain a neat, organized work area to reflect professionalism and ensure privacy and document security compliance.
  • Carefully verify documents and file information for accuracy.
  • Continuously seek ways to streamline administrative processes and suggest improvements.
  • Assist with assigned projects and keep VP and HR Managers informed of progress.

Requirements

  • Associate Degree and at least three years of related HR experience, or an equivalent combination of education and experience.
  • Ability to maintain the highest level of confidentiality when handling HR documents and information.
  • Proficiency in Microsoft PowerPoint, Microsoft Excel, Microsoft Word, and either Google Chrome or Microsoft Edge.
