Administrative Business Lead - Human Resources
Job Description
Administrative Business Lead role supporting two senior HR leaders in New York with day-to-day administrative coordination across calendars, travel, meetings, and Concur workflows.
Responsibilities
- Own and manage both leaders’ calendars, including coordination of in-person and virtual meetings with multiple participants across different time zones
- Prioritize competing meeting requests and apply judgment to escalate high-priority items, ensuring leaders are prepared for key meetings
- Keep meetings on time by monitoring real-time requests throughout the day, including phone calls, urgent scheduling changes, and requests from senior leaders, team members, and stakeholders
- Coordinate logistics for HR leadership meetings and key forums, covering scheduling, room reservations, attendee coordination, materials preparation, and follow-up as needed
- Arrange domestic and international travel using Concur, including flights, hotels, cars, and visas if required
- Cross-check travel details for accuracy and proactively address any gaps or changes
- Process expense reports in Concur for both leaders and support timely reconciliation of corporate card activity
- Provide light administrative support to the broader HR team, such as ordering office supplies and supporting team logistics and ad hoc administrative needs
Requirements
- At least 10 years of administrative experience in a corporate environment
- Committed to being in the office 5 days per week on most week
- Gravitas to engage with C-suite personnel and their teams
- Highly organized with the ability to track multiple tasks to completion across stakeholders and timelines
- Meticulous attention to detail
- Ability to use judgment to pivot quickly and adapt to changing priorities in a fast-paced environment
- Ability to build strong, respectful relationships across the firm
- Positive “can-do” attitude
- High degree of professional discretion and integrity
- Proficient with the Microsoft Office suite

Location and Work Model
- Location: New York, NY (hybrid)
- Office requirement: Employees are currently required to work at least 4 days in the office per week, with flexibility to work from home 1 day a week
- Some business groups may require more time in the office based on role responsibilities
Compensation (New York, NY only)
- Salary range: USD $104,500.00 - USD $200,000.00 per year
- Employees may be eligible for an annual discretionary bonus
