Associate Human Resources Generalist
Job Description
The State of New Mexico seeks an Associate Human Resources Generalist to provide administrative support for ALTSD HR functions, maintain personnel records, assist with recruitment, and serve as HR Records Liaison under the direction of the HR Deputy Director. This onsite role is based in Santa Fe, NM, with compensation in the hourly range of USD 22 to 33 and requires an associate degree.
Responsibilities
- Provide administrative support for all Human Resources functions, assisting the HR Deputy Director and ALTSD employees with HR questions and daily office operations.
- Maintain and ensure personnel and position records comply with ALTSD policies and procedures.
- Act as HR Records Liaison, managing records in accordance with the Records and Archiving retention schedule.
- Support recruitment and hiring activities, including postings, certifying lists, appropriate placements, and hiring transactions.
- Generate reports and track HR actions using spreadsheets; maintain and update the staff directory and LinkedIn postings for new hires.
- Distribute New Hire Swag Bags to new employees.
- Complete assigned tasks and duties per the direction of the HR Deputy Director.
- Coordinate interviews, with expectations to conduct them within two weeks of the closing date.
- Maintain accurate personnel and position records while ensuring compliance with policies and the Records and Archive Retention Schedule.
- Process and manage all HR records to meet retention requirements and ensure compliance with the Records and Archive Retention Schedule.
- Track and enter HR actions, including trainings, new hires, terminations, evaluations, and related updates; oversee new hire postings on LinkedIn.
- Assist with preparation of HR reports and administrative tasks related to payroll verification and employee records.
- Administer New Hire Swag Bags for new employees and complete file reviews as requested by other agencies.
- Maintain a File Review spreadsheet and ensure reviews are completed within 24 hours; file review requests are stored in the File Review Request folder or the personnel actions in the position folder.
- Process and complete background checks within 24 hours of receipt.
- Support payroll processes by verifying payroll register accuracy, deductions, and overtime for all employees, reporting any discrepancies to the Senior HR Generalist.
Requirements
- Associate degree in any field; or any combination of education and direct experience totaling two years may substitute for the required degree.
- Must possess a valid New Mexico driver's license.
- Must have and maintain a current Defensive Driving Course Certificate from the State of New Mexico or obtain certification within 90 days of employment.
- Statewide travel may be required.
- Office environment with extensive computer and telephone use; ability to lift up to 25 lbs.
- Interviews are expected to be conducted within two weeks of the closing date.
