Job Description

The Payroll Coordinator provides administrative support to payroll and human resources functions at The Springs Health and Rehabilitation Center in Murrieta, CA.

Role Summary

The HR/Payroll Coordinator performs administrative services that support payroll processing and human resources operations for the facility, with an emphasis on accurate time reporting, employee record maintenance, and HR-related coordination.

Key Responsibilities

  • Processes employee hours worked records in accordance with company policy and procedures.
  • Ensures hours are reported accurately and follows up to resolve any discrepancies.
  • Creates and provides discrepancy and/or trending reports to management.
  • Supports the applicant intake process per company policies, including pre-screening, scheduling interviews, coordinating drug screening, and conducting background and reference checks.
  • Ensures new employees complete required new hire paperwork training, including Employee Handbook acknowledgement, Code of Conduct acknowledgement, and HIPAA video.
  • Acts as a point of contact for benefits questions and assists employees with enrollment in benefits programs.
  • Assists with new hire orientation.
  • Confidentially maintains up-to-date employee personnel files.
  • Supports communication and adherence to human resources and workers’ compensation policies and procedures, and periodically coordinates in-service training for new or updated policies.
  • Ensures timekeeping systems and tools reflect daily status, and supports the development of facility labor cost management reduction strategies.
  • Uses labor data and supports decision-making based on current labor metrics.
  • Organizes and processes records for training and development in line with company policy and procedures.
  • Provides management reporting to identify trends and/or discrepancies.
  • Records, processes, and maintains employee safety-related records in alignment with OSHA and Risk Management policy and procedure.
  • Facilitates an open door policy and directs employee relations issues to the Administrator, Director of Nursing, and/or the HR Director as appropriate.
  • Administers and coordinates documentation for leaves of absence, including FMLA and associated documents.
  • Ensures all up-to-date legal postings are placed in a designated area within established timeframes.
  • Performs other duties as assigned.

Required Qualifications

  • High school graduate.
  • 2 years of college or equivalent work experience.
  • At least one year of experience with human resources and payroll preferred.
  • Proficiency with Microsoft Word, Excel, and PowerPoint.
  • Experience with Kronos preferred.
  • Excellent verbal and written communication skills.
  • Ability to work with employees across all levels.
  • Project management organizational skills required.
  • Ability to conduct training for employees.

Reports to: Administrator

FLSA Classification: Hourly Non-Exempt

Job Type: Full-time

Pay: $40.00 per hour (USD 40 - 40 per hourly)

Work Location: In person (Murrieta, CA, onsite)

Certificates and Licenses: No license or certification required.

Education: High school or equivalent (Preferred)
