Human Resource Office Coordinator
Job Description
The State of Montana is hiring an HR Data, Records, and Office Coordinator for the Department of Public Health and Human Services in Helena, MT (onsite).
Responsibilities
- Welcome visitors at the HR front desk, manage calls and emails, and ensure guests are treated with respect while directing them to the appropriate HR staff or resources.
- Process HR inquiries and information requests by routing them to the correct areas and helping staff and supervisors find answers on benefits, leave, classification, recruitment, and other HR services.
- Collect, maintain, and report HR data and records in compliance with applicable rules, regulations, and internal procedures.
- Support HR processes such as recruitment, onboarding and offboarding, and employee relations by preparing materials, updating systems, and assisting HR staff with follow-up tasks.
- Serve as the primary contact for DPHHS background checks, coordinating requests, tracking status, and addressing questions from applicants, employees, supervisors, and external partners.
- Coordinate day-to-day HR office operations, including ordering and organizing office supplies, furniture, and equipment, and helping sustain a professional and efficient work environment.
- Assist with HR projects and process improvements by compiling information, creating tools or documentation, and participating in implementation as needed.
Requirements
- Working knowledge of employment law, HR principles and practices, and a broad range of HR services.
- Strong prioritization, multi-tasking, and flexibility to adapt to change, managing competing priorities amid interruptions or delays.
- Excellent communication and listening skills with a high level of customer service, plus the ability to maintain professional relationships under pressure.
- Solution-driven approach to analyze patterns, identify issues, and recommend improvements when working with people, resources, and processes.
- Self-directed, proactive initiative with accuracy and thoroughness to ensure quality output.
- Ability to observe details, understand, interpret, summarize, and compile information.
- Skilled in researching and interpreting technical, legal, and ambiguous information.
- Ability to remain neutral under challenging circumstances, exercise discretion, be persuasive, and foster goodwill to promote best practices.
- Capacity to understand different roles within the agency and adapt approaches accordingly.
Minimum Qualifications
- Associate degree in human resources, business, public administration, journalism, English, psychology, marketing, or a related field.
- Three years of relevant work experience involving HR data and records management, HRIS, system troubleshooting, office management, and customer service.
Preferred Qualifications
- Experience with back-office functions, report generation, and SABHRS or equivalent state government HR systems support.
- Familiarity with Montana State Government HR processes, including employee relations, performance management, classification, compensation, recruitment, and employment law compliance.
- Current State of Montana Classification Certification, or ability to obtain it within one year of hire.

This agency may use a training assignment. Employees in training assignments may be paid below the base pay established by agency pay rules. Terms of the training assignment will be stated in writing at the time of hire.
Salary
USD 32 per hour
