Human Resources Coordinator
Job Description
The Human Resources Coordinator role at Network For Hope is based onsite in Louisville, KY, and provides administrative and operational support to the HR department, with a focus on employee records management, HRIS data integrity, benefits processing, onboarding assistance, and handling employee inquiries.
Responsibilities
- Deliver timely, customer-focused HR assistance to employees and managers.
- Maintain precise employee records, personnel files, and HRIS data while upholding confidentiality and regulatory standards.
- Oversee lifecycle documentation including onboarding, status changes, transfers, promotions, and terminations.
- Assist with payroll-related administrative changes and relay updates bi-weekly to the payroll processing team to ensure accurate payroll execution.
- Ensure all required documentation is completed and securely stored in personnel and confidential files.
- Support compliance efforts by managing postings, documentation, audits, and tracking recurring requirements with the HR Generalist.
- Support annual Motor Vehicle Record background checks and related follow-up as directed by the HR Manager.
- Act as the primary contact for general HR inquiries and direct staff to appropriate resources.
- Track HR metrics, evaluations, deadlines, and milestones (anniversaries and birthdays); provide reporting to executive leadership as requested.
- Assist in coordinating recognition program rewards as needed.
- Coordinate the launch of introductory period evaluations and annual performance reviews.
- Support recruitment activities by coordinating candidate interviews, including phone screens, hiring manager interviews, and peer interviews, while maintaining timely communication with candidates and internal stakeholders.
- Assist with onboarding tasks including new hire paperwork, I-9 compliance, orientation scheduling, and required documentation.
- Support processes for collecting immunization documentation for new hires.
- Ensure timely enrollment of new hires into recognition programs and maintain records for transfers, promotions, status changes, and terminations.
- Serve as a back-up presenter for new employee benefit orientation, gathering paperwork and processing benefit details with carriers as needed.
- Maintain records of carrier bills for benefits administration and coordinate with Finance for reconciliation; assist with open enrollment and communications.
- Draft electronic communications for leadership and staff using available Employee Assistance Program resources.
- Provide administrative support for leave of absence processes, including documentation collection and system updates, escalating eligibility concerns to the HR Generalist.
- Track time off in the HRIS and other monitoring systems; upload Safety Incidents/First Reports of Injury, preserving confidentiality of medical records.
- Support ongoing HR initiatives such as performance evaluations, compliance projects, employee programs, and annual processes; assist with events and engagement efforts while upholding applicable employment laws.
Requirements
- Post-secondary education is required; a Bachelor's degree in human resources or a related field is preferred.
- Minimum of two years of experience in human resources, office or administrative support within a professional environment; related experience may substitute education requirements.
