Human Resources Coordinator
Job Description
The Human Resources Coordinator provides administrative and operational support to the Human Resources function at Ergon, Inc - Refining & Marketing. In this onsite role in Vicksburg, MS, you will help coordinate recruitment and onboarding support, maintain employee records, support benefits administration, and ensure payroll-related data is accurate and compliant.
Key Responsibilities
You will support HR processes and payroll administration for refinery employees, including maintaining accurate time and leave records and coordinating updates across HR and payroll systems.
- Maintain compliance with applicable privacy laws and company policies related to data protection.
- Track and report payroll and leave activity (vacation, sick, and related items) for hourly personnel.
- Verify timecards and review SchedulePro and e-log submissions to ensure submitted time is accurate and consistent across systems.
- Serve as a department administrator for Kronos and SchedulePro.
- Produce monthly reports covering overtime, sick leave, attendance, vacation usage, and turnover, and distribute them as required.
- Coordinate with managers and supervisors to manage vacation scheduling, including assigning new employees, changing shift schedules and positions, updating training schedules, and publishing new schedules.
- Use the employee recap report from E-Log to update Kronos with accurate hourly employee time, vacation, and sick leave accruals.
- Work with L&D to limit scheduling employees outside their shift.
- Partner with refinery personnel to ensure the timeliness and accuracy of data provided.
- Coordinate with corporate payroll teams to support payroll accuracy.
- Identify, escalate, and track system issues until resolution.
- Act as a backup to the front desk.
- Perform other duties as assigned by the HR Manager.

Required Qualifications
- Associate's or Bachelor's degree in Human Resources, Business Administration (preferred), or a related field, or an equivalent combination of education and experience.
- 0–2 years of HR or administrative experience, preferably in a corporate environment.
- Basic understanding of HR policies and employment law fundamentals.
- Computer experience with Microsoft Windows and Microsoft Office (Outlook, Excel, Word), including the ability to learn new programs tied to job responsibilities.
- Strong communication and organizational skills.
- Ability to provide and comprehend written and verbal instructions.
- Ability to learn and understand basic refining principles related to charge and yield, shift work, and shift scheduling.
- Ability to work as part of a team to meet projected goals.
