Job Description

The Human Resources Specialist supports HomeWell Care Services by maintaining a qualified pool of caregivers through recruiting, hiring, and orientation. The role also delivers day-to-day HR functions for caregivers, assists the Director of HR, and helps maintain accurate records and compliance-related documentation.

Key Responsibilities

  • Continuously recruit caregivers to maintain an eligible and available pool.
  • Create and post online job advertisements.
  • Source candidates through resume databases and social media platforms.
  • Attend and/or host job fairs.
  • Partner with local nursing assistant programs.
  • Promote the agency employee referral program to current caregivers.
  • Conduct in-person and virtual interviews.
  • Extend job offers, collect new hire paperwork, and obtain copies of applicable identification, licensure, certifications, and completed trainings; ensure documentation is completed correctly, signed, and not expired.
  • Schedule candidates for orientation and provide remaining onboarding documentation to be completed no later than day one.
  • Lead orientation day one to share the agency’s history and mission, set expectations, review procedures, support brand consistency, and foster a positive employer-employee relationship.
  • Create and maintain personnel files and ensure caregiver information is accurately loaded into the agency CRM system.
  • Assign training courses, provide caregiver login information, and monitor completion by required dates.
  • Ensure required background checks, CAPS, and motor vehicle records are processed prior to placement with any client.
  • Track upcoming document expirations and required continuing education or performance evaluations; ensure timely completion and collection.
  • Conduct caregiver performance evaluations at 30 days and annually, including required training at 6 months.
  • Draft disciplinary actions with input from the Operations Manager, and coordinate scheduling and issuance.
  • Complete termination letters with review from the Operations Manager and schedule and perform terminations.
  • Complete exit interviews with caregivers.
  • Audit and maintain caregiver personnel files in accordance with regulatory requirements and agency policy.
  • Act as a liaison for caregivers to promote engagement.
  • Communicate regularly with eligible caregivers to confirm availability, desired hours, contact information, and satisfaction, with additional focus during the first 90 days.
  • Conduct check-in interviews with caregivers at 30 to 45 days and annually.
  • Verify caregiver hours and rates through the CRM system.
  • Ensure the paycheck software system is current and up to date for personnel records, including W-4, I-9, and direct deposit.
  • Answer staff questions related to paychecks.
  • Complete employment verifications.
  • File unemployment claims.
  • Support management of employee benefits.
  • Oversee the employee rewards program Zingage.

Requirements

  • Minimum of 1 year full-cycle recruiting and onboarding experience (required).
  • Minimum of 1 year experience in employee relations (required).
  • Home care or related experience in the field (preferred).
  • Willingness to travel between local branches as needed to support the team.
  • Experience with Excel and Microsoft programs.
  • Strong organizational skills.
  • Ability to multitask.
