Job Description

HSG, LLC is seeking a part-time Human Resources Generalist to support the day-to-day HR operations that keep onboarding, offboarding, recruiting administration, and HR documentation moving smoothly. This onsite role in Merritt Island, FL focuses on key operational tasks while HR leadership maintains primary responsibility for candidate screening and selection coordination.

In this position, you will help manage employee transitions end to end, maintain accurate records in HR systems, and support shared HR inbox coverage. You will also assist with recruiting logistics and invoice processing to ensure documentation is complete, coded correctly, and routed for approval.

What You’ll Do

  • Manage onboarding from accepted offer through completion of new hire requirements, creating an organized and welcoming start.
  • Coordinate new hire paperwork, background screenings, employment eligibility verification, and other required documentation.
  • Create and maintain accurate employee records in the HRIS and other applicable systems.
  • Partner with hiring managers, IT, and site contacts to coordinate equipment, access, orientation, and first-day logistics.
  • Conduct or coordinate new hire orientation and guide employees through company policies, systems, and onboarding requirements.
  • Track required acknowledgments and training, follow up on outstanding items, and handle routine new hire questions.
  • Manage the administrative offboarding process, ensuring required steps are completed accurately and on time.
  • Coordinate separation documentation and employee status updates across applicable systems.
  • Work with Payroll, Benefits, IT, and managers to communicate separation details, coordinate equipment returns, and arrange access removal.
  • Coordinate exit surveys or interviews, maintain separation records, and share feedback with HR leadership.
  • Provide departing employees with approved information for next steps and route questions requiring additional guidance to the right contact.
  • Schedule candidate screenings and interviews, gather availability, and send calendar invitations and confirmations.
  • Communicate with candidates and hiring managers regarding scheduling, interview logistics, and approved next steps.
  • Perform light sourcing through approved job boards and professional networks, identifying potential candidates for HR leadership review.
  • Assist with posting openings and maintaining accurate candidate records in the applicant tracking system.
  • Support candidate follow-up and recruiting administrative tasks, including initial screenings only as requested.
  • Review and process HR-related invoices by verifying accuracy, completeness, and supporting documentation.
  • Apply appropriate account, department, or project codes according to Finance guidance.
  • Route invoices for required approval and submission, track outstanding items, and follow up to support timely processing.
  • Coordinate with vendors, Finance, and HR leadership to resolve discrepancies and keep invoice records organized.
  • Monitor the shared HR inbox, respond to routine questions, and route issues to the appropriate team member.
  • Track open requests and follow up to ensure employees and managers receive timely responses.
  • Escalate sensitive employee concerns, policy exceptions, and matters requiring HR leadership review.
  • Maintain accurate personnel records while protecting confidential employee, candidate, and company information.
  • Support HR communications, reporting, procedures, and other projects as assigned.

Required Qualifications

  • Bachelor’s degree in Human Resources, Business Administration, or a related field, or an equivalent combination of relevant education and experience.
  • At least two years of relevant HR experience, including employee onboarding or HR operations support.
  • Experience maintaining employee records and working within an HRIS or comparable business system.
  • Strong organizational skills with the ability to manage multiple deadlines and see tasks through to completion.
  • Professional written and verbal communication skills and a responsive, employee-focused approach.
  • Ability to handle sensitive information with discretion and recognize when issues should be escalated.
  • Proficiency with Microsoft Outlook, Word, Excel, and Teams.
  • Ability to adhere to applicable federal, state, and local employment laws, regulations, and company policies.

Preferred Qualifications

  • Experience with ADP or a similar HRIS and applicant tracking system.
  • Experience coordinating employee offboarding, interview scheduling, and candidate sourcing.
  • Experience reviewing and coding invoices or working with an accounting or finance team.
  • Experience supporting a federal contractor or multi-site organization.
  • PHR or SHRM-CP certification.

Working Conditions

  • Work is mainly performed in an office setting with occasional irregular hours.
  • Low to moderate travel away from the office may be required.
  • Physical demands may include walking, sitting, or standing for extended periods; reaching; balancing; stooping; talking or hearing; and operating office equipment such as a keyboard, calculator, telephone, and similar tools.
  • May occasionally move and/or lift up to 50 pounds or more with assistance.
