Payroll/Human Resources Administrator
Job Description
The Payroll and Human Resources Administrator role is an on-site position in Reno, NV, supporting payroll processing while handling a comprehensive set of HR responsibilities, including benefits administration, recruiting, employee relations, and regulatory compliance.
Responsibilities
- Oversee semi-monthly payroll processing for approximately 160 employees, ensuring accuracy and timeliness.
- Execute all activities required to process payroll and maintain related records.
- Prepare tax filings and voluntary deduction reports.
- Process involuntary deductions such as levies and garnishments.
- Prepare accounting transactions and related documents.
- Document and update payroll and HR procedures.
- Prepare special reports for management as needed.
- Provide day-to-day benefits administration services and assist employees with any claim issues.
- Manage and administer benefits, including scheduling and conducting benefits orientations and trainings.
- Handle enrollment in carrier systems and in the payroll system.
- Administer the 401(k) plan and participate in yearly compliance reporting.
- Administer FMLA, ADAAA, long-term disability, and workers' compensation claims.
- Develop job descriptions for all roles within the company.
- Perform pre-screening of applicants and coordinate interviews with appropriate department managers.
- Maintain applicant records, correspondence related to hiring decisions, and accurate reporting for EEO purposes.
- May present offers of employment and negotiate terms with candidates.
- Facilitate the hire to start process and coordinate onboarding steps.
- Conduct new hire orientations to onboard new employees.
- Perform background checks on all new employees and verify information, addressing any undisclosed criminal history as needed.
- Assist with the development of HR policies related to employee relations.
- Partner with management to communicate HR policies, procedures, programs, and laws.
- Recommend employee relations practices to foster a positive employer-employee relationship and high morale.
- Participate in investigations when employee complaints or concerns arise.
- Advise managers on steps within the progressive discipline system and employment matters.
- Comply with all applicable governmental and labor reporting requirements, including EEO, ADA, FMLA, ERISA, DOL, and workers' compensation.
- Maintain minimal exposure to lawsuits and protect the interests of employees and the company in line with HR policies and laws.
- Scan personnel records, perform filing and data entry, and handle other duties as assigned.
Requirements
- Proficient with Microsoft Office products, especially Excel and Word.
- Ability to multi-task in a dynamic environment.
- Strong communication skills.
- Past payroll experience is preferred, but not required.
- Education: High school diploma or equivalent.
