Payroll & Human Resources Coordinator
Job Description
The Payroll & Human Resources Coordinator supports weekly payroll operations and day-to-day people administration for office and field employees in a fast-paced construction environment. This onsite role in Waldwick, NJ helps ensure payroll accuracy, certified payroll compliance, and smooth onboarding and offboarding processes.
Key Responsibilities
- Process weekly in-house payroll for all office and field employees.
- Review timecards and payroll inputs for accuracy, including pay rates, job numbers, cost codes, overtime, deductions, reimbursements, and PTO.
- Coordinate with project managers and superintendents to resolve missing or incorrect payroll information.
- Maintain payroll records for new hires, terminations, wage changes, deductions, direct deposit, and employee allowances.
- Prepare and submit certified payroll reports for public and prevailing-wage projects.
- Verify employee classifications, prevailing-wage rates, fringe benefits, overtime, and project assignments.
- Track federal, state, and local payroll taxes, including timely tax deposits and quarterly and year-end reconciliation for filings.
- Maintain current wage determinations and submit reports through LCPtracker and other agency-specific systems.
- Assist with payroll audits, discrepancies, year-end reporting, and requests for supporting documentation.
- Respond to employee questions related to payroll, deductions, and PTO.
- Manage onboarding, including new-hire paperwork, I-9 documentation, payroll and benefit setup, orientation, and required company forms.
- Coordinate technology and equipment needs for new hires and departing employees with management, the Purchasing Coordinator, and the company IT provider.
- Maintain accurate and confidential personnel files and employee records, including company-property assignments and organizational information.
- Administer benefits enrollment, changes, and terminations, including health insurance and 401(k).
- Track PTO, benefit eligibility, attendance, performance review timelines, and other employee-related deadlines.
- Maintain employee training and certification records, including OSHA, SWAC, safety training, professional licenses, and project-specific credentials, monitoring expirations and coordinating renewals.
- Support recruiting by posting approved openings, reviewing applications, conducting initial screenings, scheduling interviews, communicating with candidates, and preparing offer and onboarding documents.
- Coordinate offboarding, including final payroll, benefits, company property, system-access notifications, and required documentation.
- Support workers’ compensation documentation, employment verifications, unemployment claims, employee changes, and other HR reporting.
- Assist management with employee communications, policies, performance reviews, corrective-action documentation, and other HR matters.
- Provide general administrative and office support as needed, including coordinating office calendars, contact lists, organizational charts, and shared administrative information.
- Support special projects, correspondence, document preparation, filing, and scheduling; coordinate with other administrative staff and provide backup coverage when needed.
- Coordinate employee birthdays, company lunches, meetings, training sessions, celebrations, employee announcements, and company-wide communications.
Required Qualifications
- Five or more years of payroll, human resources, or related administrative experience.
- Experience processing payroll independently.
- Ability to handle payroll and employee information with confidentiality and professionalism.
- Strong Microsoft Excel, organizational, communication, and time-management skills.
- Excellent attention to detail and the ability to meet recurring deadlines.
Preferred Qualifications
- Construction payroll and certified payroll experience.
- Familiarity with prevailing-wage requirements, LCPtracker, and public construction projects.
- Experience with Spectrum, PTE, or similar payroll and accounting software.

Compensation and Benefits
Salary: USD 70,000 - 80,000 per year.
