Sr People Ops Coordinator
Job Description
Sr People Ops Coordinator role focused on delivering an employee-first employee experience through case management, HR systems support, and cross-functional coordination.
Responsibilities
- Act as a liaison between employees, managers, and the Benefits team for leave of absence cases, ensuring a smooth and supportive experience.
- Partner with Managers and Payroll to support timely, accurate timecard completion, including identification and resolution of discrepancies.
- Coordinate with Benefits subject matter experts to verify dependent information throughout the year in accordance with provided guidelines.
- Manage unemployment claims from filing through resolution, coordinating documentation and responses with appropriate stakeholders.
- Support manager inquiries related to timecard completion by partnering with Payroll and the ADP system to resolve issues.
- Own vendor management in Coupa for the People team, including:
- Vendor onboarding
- Invoice/PO processing
- Maintaining accurate vendor records
- Be a resource and liaison for new hires during their first week by answering FAQs, supporting completion of required paperwork, and auditing US-based new hire data.
- Serve as an escalation point for employee questions and concerns that require deeper case knowledge, providing timely and accurate resolution.
- Monitor audit reports to ensure data accuracy across HR systems and records, flagging and resolving discrepancies.
- Perform People Operations administrative work that keeps day-to-day operations running smoothly, including document management and record keeping.
- Support drafting, tracking, and administration of workforce management letter agreements.
- Identify and implement improvements to core People Operations processes, including:
- Process documentation
- Creation of RACI documents
- Work with the internal GRC team to ensure monthly HITRUST audits are completed.
- Support onboarding and offboarding by ensuring a smooth transition and completion of new hire documentation across the employee life cycle.
Requirements
- Bachelor’s degree in Human Resources, Business Administration, or related field.
- 1–2 years of HR experience with working knowledge of leave of absence processes, ADA accommodations, and payroll/timecard procedures.
- Working knowledge of FMLA, ADA, and unemployment claims processes.
- Strong HRIS systems skills and proficiency in Microsoft Office Suite.
- Excellent organization and attention to detail, with the ability to manage multiple cases and competing deadlines.
- Exceptional customer service focus and commitment to the employee experience.
- Strong follow-through to resolve concerns start to finish in a fast-paced environment.
- Ability to handle sensitive information with discretion and confidentiality.
- Strong communication and interpersonal skills for effective partnership with managers, employees, and cross-functional teams (Benefits, Payroll, EEP/PBP).
- Ability to work independently and as part of a team.
