Human Resource Coordinator
Job Description
Human Resource Coordinator role supporting Lauderdale County Schools by administering people operations tied to funding, budgeting, and personnel management.
Responsibilities
- Enter and process personnel actions including hires, leaves of absence, status changes, resignations, terminations, and retirements.
- Monitor, complete, and route Personnel Board approval request eForms; prepare personnel exhibits for board meeting agendas.
- Verify certification credentials for individuals recommended for Board actions.
- Process new hire E-Verification.
- Verify completion of background checks for new hires.
- Coordinate with the CSFO and bookkeeping/payroll to manage position control within Next Gen and Budget Works.
- Support accurate reporting and updates for personnel units and salary changes across associated source funds (including foundation units and Title funds).
- Assist with maintaining salary schedules and supplements, ensuring alignment with budget constraints and personnel data.
- Manage transfers, location changes, and resignations in the financial systems.
- Oversee administration and configuration of personnel information within Frontline Absence and Time Management.
- Maintain up-to-date employee certification data and initiate renewals when needed.
- Work with supervisors and other system employees to ensure HR data and system goals are implemented and provided within designated time frames.
- Coordinate recruitment events, assist with applicant pre-screening, and manage job vacancy reporting.
- Support onboarding, including New Hire Orientation, ensuring required documentation is completed concurrently with the HR Director.
- Assist in ensuring appropriate policies and procedures are followed, including timely, accurate, and legally compliant processing of personnel actions and required state reports.
- Handle employee grievances and maintain grievance files in accordance with board policies and procedures.
- Assist with required forms for alternative routes of teacher certification.
- Partner with payroll to ensure accurate and timely salary payments, including calculations based on experience, degree, employment date, and other criteria.
- Process ALSDE EXP, years of experience, and new hire reporting for all new hires.
- Maintain and secure paper and electronic personnel files, supporting confidentiality and compliance with state and federal regulations.
- Ensure updates to personnel software and HR forms are current.
- Prepare and maintain personnel statistical information and submit required reports to the Board, State Department of Education, Equal Employment Opportunity Commission, or other agencies as required.
- Perform other duties as needed to support the HR department and school system.
Requirements
- Bachelor’s degree in Human Resources, Finance, Business Administration, or a related field (as deemed fit by board of education or based on years of experience).
- Equivalent combinations of training and experience will be considered.
- Minimum 3 years of experience in human resources or financial coordination, preferably in an educational setting.
- Valid AASBO (Alabama Association of School Business Officials) certification preferred, or ability to obtain within 1 year of employment.
- Strong knowledge of budgeting and funding processes in an educational context.
- Familiarity with the school system’s operational policies and procedures.
- Strong knowledge of relevant ethical guidelines.
- Proficient with HR software and systems, especially Next Gen, Budget Works, and Frontline.
- Excellent organizational, analytical, and communication skills.
- Ability to handle confidential information with integrity.
- Proficient in common office software, including word processing and spreadsheet applications.
