Job Description
The Human Resources Assistant supports recruiting, onboarding, timekeeping, employee reviews and exit processes, and related HR and administrative duties at Grant 4-D Farms. This onsite role is based in Rupert, Idaho.
Responsibilities
- Coordinate with the Directors of Agronomy, Operations, and Human Resources to identify positions to fill on a weekly basis.
- Gather new hire documentation such as W-4, I-9, direct deposit information, visa, tax forms, or H-2A onboarding, and set up new employees in Paylocity and FieldClix.
- Process H-2A travel reimbursement.
- Explain employee benefits and HR processes to new hires and address related questions.
- Assist managers with timecard approvals in FieldClix.
- Communicate hours with directors, managers, and employees.
- Understand payroll and timeclock systems and train new hires to use the time clock and Paylocity.
- Train managers on approving employees’ hours.
- Respond to employee questions related to payroll topics.
- Maintain organization by updating the organizational chart on a weekly basis.
- Assist managers with employee write ups and termination processes, provide exit paperwork, and verify rehire status with the manager.
- Facilitate the employee review process and verify reviews are completed and documented.
- Assist employees with using the Fuel Cloud System.
- Process workers' compensation claims with the workplace file and WC insurer.
- Plan events and assist with meetings and training sessions as needed.
- Act as translator in various meetings.
- Create and maintain WhatsApp groups for company communications.
- Maintain a list of employee driver’s licenses for liability insurance.
- Assist with GAP audits by gathering necessary information.
- Perform various data entry tasks as required.
- Ensure H-2A housing is ready for the annual inspection and assign workers to housing.
- Ensure H-2A housing is occupant-ready when workers arrive and maintain weekly housing inspection reports.
- Post H-2A housing rules.
Requirements
- Knowledge of labor laws.
- Thorough understanding of the H-2A program and its rules.
- Bi-lingual, able to read and write in English and Spanish.
- Self-motivated, goal-oriented individual.
- Ability to handle multiple tasks and collaborate across multiple departments and functions.
- Capacity to work in a fast-paced and high-stress environment.
- Computer literacy with MS Office applications, and experience with Paylocity and FieldClix.
- Excellent organizational skills with the ability to prioritize projects.
- Strong phone, email, and in-person communication skills.

Work Environment
- Office hours are 8:00 a.m. to 5:00 p.m., Monday through Friday.
- Position requires prolonged sitting with interruptions from visitors and calls; must maintain focus and work at a fast pace during peak periods.
- Work is primarily indoors with occasional outdoor duties.

Compensation
Compensation: $18.00 - $21.00 per hour
Location and Relocation
Ability to commute to Rupert, ID 83350 is required. Relocation to Rupert, ID 83350 before starting is required.
