Human Resources Staffing Specialist
Job Description
For Spotsylvania County Public Schools, this role coordinates the full-cycle staffing process from vacancy identification through offer acceptance, partnering with district and school leaders on staffing initiatives and workforce planning to ensure a professional candidate experience.
Responsibilities
- Lead staffing discussions with school administrators and division leaders to determine staffing needs, review vacancies, monitor hiring progress, and support strategic workforce planning.
- Coordinate with school and department leadership to track vacancy status, anticipated staffing needs, hiring timelines, and recruitment priorities across the staffing cycle.
- Create, post, and maintain employment vacancies through the division's Applicant Tracking System (ATS), external job boards, educator recruitment platforms, and partner university systems to ensure accurate and timely advertisement of openings.
- Monitor active job postings and collaborate with hiring administrators and Human Resources staff to keep vacancy information, position requirements, and posting timelines current and aligned with staffing needs.
- Serve as a primary point of contact for applicants throughout the hiring process, delivering timely updates on application status, hiring timelines, required documentation, and next steps.
- Participate in interview panels and candidate screening to support the selection of highly qualified employees aligned with division needs and expectations.
- Coordinate and proctor Administrator Pool Assessments and other division hiring assessments, ensuring consistency, professionalism, confidentiality, and adherence to procedures.
- Facilitate the job offer process by reviewing new hire approvals in the division's electronic ATS as initiated by School Leadership Teams or Human Resources Teams.
- Prepare job offers by reviewing applicant data, transcripts, certifications, and supporting documents to ensure accuracy and compliance with division policies and procedures.
- Validate and calculate years of relevant experience to determine proper salary step placement according to established guidelines.
- Extend formal job offers to candidates, clearly communicating terms of employment and representing the division with professionalism and integrity.
- Address candidate questions regarding offers, employment conditions, salary placement, licensure, and onboarding expectations; escalate complex matters to Human Resources leadership as appropriate.
- Coordinate the transition of newly hired employees to onboarding and personnel support staff to ensure a smooth handoff after offer acceptance.
- Act as a recruitment lead by collaborating with Human Resources colleagues to develop, coordinate, and monitor recruitment strategies, hiring initiatives, and targeted outreach efforts.
Requirements
- High School Diploma or equivalent
- Three (3) years of progressive experience within a human resources department, with at least two (2) years directly supporting recruitment processes

Employment Terms
Employment is offered as a 12-month (243 Day) contract, with a minimum of 7.5 hours worked daily. This position is evaluated annually.
