Lateral Recruiting Assistant
Job Description
Support Wilson Sonsini’s lateral attorney recruiting and onboarding pipeline by coordinating high-volume, detail-driven tracking and pre-hire/onboarding logistics in a hybrid schedule.
Responsibilities
- Review resumes and calculate GPAs with high accuracy
- Perform high-volume, detail-oriented data entry using applicant tracking processes
- Maintain the candidate database as resumes are received and decisions are made, keeping records accurate, complete, and current
- Coordinate pre-hire conflicts checks:
- Collect conflicts information from candidates
- Submit conflicts details to the conflicts team for review
- Track status for each candidate across the pipeline
- Coordinate ethical walls workflow with hiring partners:
- Send ethical wall lists to hiring partners to confirm candidate eligibility
- Complete a supplemental conflicts check approximately two weeks before each candidate start date to identify new matters
- Coordinate background checks:
- Distribute the background form to candidates
- Enter information into HireRight
- Follow up with candidates directly when employment or education cannot be verified
- Summarize background reports for recruiter and GCO review to support clearance before start dates
- Manage Lateral Link assignments by:
- Emailing hiring partners for suggestions
- Confirming availability with suggested lateral links
- Sending program and new hire information
- Assist with onboarding documentation collection and communications, including new phone orders, orientation schedules, and joining-firm information
- Track onboarding progress against key checkpoints and flag items at risk of falling behind schedule
- Answer new hire questions related to Workday onboarding and general firm processes
- Send timely reminders to hiring partners and lateral links ahead of each new hire’s start date
- Support recruiting events for Patent Agent hiring, including logistics, invitations, and materials
- Maintain candidate tracking systems and support reporting for the recruiting team
- Document recurring new hire questions and issues to help the team proactively address them for future hires
- Follow required processes and maintain high confidentiality for sensitive candidate and new hire information
Requirements
- Bachelor’s degree preferred
- Administrative, coordination, or recruiting experience in a law firm or professional services environment is a plus
- Exceptional attention to detail, with a demonstrated ability to handle high volumes of documentation and data entry without errors
- Strong organizational skills to track multiple candidates and deadlines across hiring stages
- Outstanding written and verbal communication skills
- Ability to set priorities, work independently, and manage a variety of duties under time constraints
- Understanding of unconscious bias and its effect on recruiting and hiring
- Excellent interpersonal skills and ability to work with different levels of firm personnel and external candidates
- Ability to handle confidential and sensitive information with appropriate discretion
- Proactive, detail-first mindset, including double-checking work and following through on outstanding items without prompting
- Proficiency with MS Office and applicant tracking systems, preferably Workday, viRecruit, and HireRight

Anticipated pay range (hourly):
- Palo Alto, New York, San Francisco: $24.52 – $33.17
- Washington, D.C.: $22.07 – $29.86
