Job Description

Support the Talent Acquisition team in Philadelphia with end-to-end recruiting coordination, scheduling, candidate outreach, and administrative workflow.

Responsibilities

  • Support full-life cycle recruitment activities as part of the Talent Acquisition team
  • Build and maintain relationships with candidates, hiring managers, and business lines, serving as an early point of contact
  • Handle multi-tasking with detailed decision-making and strategic focus to meet business and recruiting requests
  • Execute candidate outreach, assist recruiters, and manage interview scheduling, including complex travel arrangements
  • Coordinate candidate relocation and partner with business lines to forecast requisition submissions
  • Organize the first step of the recruitment process: intake of submittals and creation of requisitions
  • Partner with vendors to ensure SLAs are honored and troubleshoot discrepancies
  • Manage timeliness through coordination, communication, and review of requisition and candidate status
  • Provide strong customer service aligned to standard operating procedures and applicable regulations
  • Independently manage and organize recruiting and business support activities
  • Act as a liaison between recruiters, hiring managers, project managers, executive admins, and candidates
  • Support requisition submission and approval process management with business line contacts
  • Welcome candidates and hiring managers and greet participants on interview days
  • Own interview coordination: organizing, prioritizing, and accommodating complex interview requests
  • Support interview logistics by assisting with travel and preparing interview packets
  • Conduct outreach to diverse groups to support diverse workforce goals
  • Track and monitor requisition forecasting and support recruitment strategy meetings
  • Set expectations, review job descriptions, and create job postings in SuccessFactors/SAP
  • Schedule intake meetings, partner with recruiters for sourcing, and oversee requisition assignments
  • Coordinate candidate engagement through external job boards and other sources
  • Schedule, facilitate, and grade approved testing based on job requirements
  • Create offer/rejection letters and maintain quality standards across recruiting activities
  • Pull data and metrics to produce scorecards and reports
  • Update the Applicant Tracking System and ensure timely requisition closure
  • Maintain compliance with EEO and related employment laws and regulations
  • Support ad hoc needs including issue resolution and invoice assistance

Requirements

  • Bachelor's Degree or an equivalent combination of training, education, and relevant experience
  • Experience in Recruitment, HR, Customer Service, or business support
  • Strong organizational skills; ability to prioritize and accomplish goals independently
  • Resourcefulness, including anticipating needs and taking initiative
  • High attention to detail and follow-up capability
  • Ability to handle highly confidential material professionally
  • Knowledge of business process improvements
  • Ability to re-prioritize based on changes in business needs
  • Superior time management skills
  • Ability to multi-task in a fast-paced, high-volume environment

Preferred Qualifications

  • 3 years of relevant experience
  • Experience using applicant tracking systems
  • Knowledge of federal, state, and local laws affecting recruitment
  • Business acumen and experience supporting business support activities
  • Recruitment experience including interview scheduling and phone screenings
  • Experience managing external vendors and understanding EEO/AA/OFCCP guidelines
  • Familiarity with SAP or similar software
  • Experience with recruitment metrics
  • Project management and process management experience
  • Advanced social media and technology networking capability
  • Exceptional communication skills (written and verbal)
  • Presentation skills
  • Ability to exercise sound judgment and discretion
  • Operational adaptability to meet sudden needs
