Administrative Coordinator - Human Resources & Learning
Job Description
Child Action is seeking an Administrative Coordinator to provide administrative, HR, and learning and development support for the organization. This onsite role in Rancho Cordova, CA supports key people operations functions, from scheduling and documentation to onboarding coordination and training logistics, while serving as a primary contact for routine HR and learning questions. The position requires strong discretion and confidentiality to handle sensitive employee information and maintain compliance.
Role Overview
- Provide administrative support to the Director of Human Resources and HR leadership.
- Serve as a primary point of contact for routine HR and training inquiries.
- Deliver excellent customer service to employees, managers, and external partners, including directing questions to the appropriate HR team member.
- Support communication of HR initiatives and training opportunities with professionalism and confidentiality.
Key Administrative and HR Responsibilities
- Manage calendars, schedule meetings, and coordinate appointments.
- Prepare correspondence, reports, presentations, agendas, and meeting materials.
- Coordinate travel arrangements and expense reporting as needed.
- Assist with special projects and departmental initiatives.
- Maintain confidential employee files and HR documentation, processing routine HR forms and requests while ensuring privacy.
- Support onboarding and offboarding logistics, including preparing new hire packets and orientation materials.
- Coordinate employment paperwork and document processing.
- Support recruitment activities by scheduling interviews and communicating with candidates.
- Maintain HR databases and filing systems, including document retention and records management.
- Support preparation for audits and compliance reviews.
- Track required employee certifications, licenses, and mandatory training.
Learning & Development Coordination
- Coordinate employee training schedules and registrations.
- Reserve training rooms or virtual meeting platforms.
- Prepare participant materials, handouts, and evaluations.
- Communicate training details to employees and facilitators.
- Track attendance and maintain training records, generating reports on training participation and completion.
- Assist with maintaining the Learning Management System (LMS), if applicable.
- Coordinate logistics for workshops, leadership programs, and organization-wide training events.
- Order and maintain training supplies and materials.
- Coordinate vendor communications related to HR or training services.
Required Qualifications
- High School Diploma or GED.
- 1-2 years of progressively responsible administrative support experience, preferably in HR, Learning & Development, or a related administrative environment.
- Strong discretion and ability to handle confidential information.
- Strong organizational, project management, and time management skills.
- Excellent written, verbal, and interpersonal communication skills.
- Ability to manage multiple priorities, meet deadlines, and work independently and collaboratively.
- Ability to provide professional, courteous, and responsive service to employees, applicants, and members of the public.
Preferred Qualifications
- Associate's degree in Business Administration, Human Resources, or a related field (or equivalent experience).
- Experience with HRIS, Learning Management Systems (LMS), or other HR software.

Work Schedule, Location, and Physical Factors
- Location: Rancho Cordova, CA (onsite).
- Full-time: 40.0 hours per week (8.0 hours a day), Monday through Friday.
- Eligible to work overtime; able to work additional overtime and weekend hours as required.
- Office setting with primarily sedentary work and light physical effort; may require greater physical effort on an incidental basis.
- Requires visual capability and digital dexterity to operate a computer and standard office equipment, including fine visual distinctions during proofreading.
- Should be able to bend to access files and lift up to 10 lbs. of files.
Compensation and Employment Details
- Salary: $27 - $34 per hour
- Pay grade range: $27.64 - $34.55
- FLSA status: Non-Exempt
