Job Description

Provide administrative and operational HR support across payroll, recruiting, onboarding, safety, compliance, and employee records.

Responsibilities

  • Support core HR functions including payroll, safety, recruiting, onboarding, offboarding, compliance, performance management, training, and employee records
  • Act as a trusted point of contact for employees and candidates to help ensure HR processes are accurate, timely, confidential, mission-aligned, and compliant with organizational policies and employment requirements
  • Coordinate recruiting activities: post openings, coordinate advertisements, review applications, schedule interviews, and maintain applicant records
  • Communicate professionally with candidates and support interview logistics, reference checks, background checks, offer letters, and pre-employment documentation
  • Help ensure recruiting practices remain timely, consistent, equitable, mission-aligned, and responsive to hiring needs
  • Coordinate onboarding: manage paperwork, schedule orientation, set up employee files, configure system access, collect required acknowledgments, and support timely completion of eligibility, tax, payroll, benefits, and related documents
  • Provide an organized, mission-centered onboarding experience for new employees
  • Coordinate offboarding including separation paperwork, exit interview scheduling, property return, benefits notices, final payroll coordination, and related record updates
  • Maintain accurate records for hires, transfers, status changes, and separations
  • Serve as the designated backup for payroll processing: review timekeeping, enter payroll data, run payroll reports, and respond to payroll-related employee questions
  • Review payroll information for completeness, accuracy, and appropriate approvals prior to submission
  • Coordinate with the Payroll & Benefits Manager to resolve missing timesheets, corrections, leave entries, and other payroll discrepancies
  • Maintain payroll recordkeeping and filing in line with organizational procedures and retention requirements
  • Maintain confidentiality for payroll and employee compensation information
  • Coordinate the organization’s safety program: safety training, safety communications, incident documentation, and follow-up on corrective actions
  • Maintain safety records including training rosters, inspection logs, incident reports, and other required documentation
  • Assist with workers’ compensation reporting, claim documentation, and communication with employees, supervisors, and third-party administrators as appropriate
  • Support safety committee operations: schedule meetings, prepare agendas and notes, and track action items to completion
  • Support a safety culture by helping ensure compliance with safety policies, required training, and applicable workplace safety standards
  • Assist with HR policy administration: support employee handbook updates, acknowledgments, and related employee communications
  • Track employment and compliance documentation including compliance forms, training requirements, and required certifications, licenses, and acknowledgments
  • Support compliance with federal, state, and local employment requirements by maintaining accurate records and escalating concerns to HR leadership
  • Assist with internal audits, personnel file reviews, compliance reports, and follow-up on missing or incomplete documentation
  • Help keep HR forms, templates, postings, and employee communications current and aligned with organizational policy, values, and mission
  • Support performance management: coordinate timelines, track evaluation completion, prepare forms or system workflows, and follow up with supervisors and employees
  • Maintain performance management records and documentation in accordance with organizational procedures
  • Assist with performance improvement documentation and goal-setting materials under HR leadership direction
  • Coordinate employee training activities: schedule sessions, prepare materials, communicate requirements, track attendance, and maintain training records
  • Monitor and report on required training completion and provide reminders to employees, supervisors, and HR leadership
  • Assist with identifying training needs using compliance requirements, onboarding feedback, safety initiatives, organizational priorities, and the faith-based mission and values
  • Maintain accurate employee records, personnel files, HR forms, and HRIS data
  • Respond to routine employee questions related to HR policies, procedures, benefits, payroll, and employment documentation; escalate complex matters as needed
  • Handle confidential and sensitive information with professionalism and discretion
  • Perform other duties and special projects as assigned

Requirements

  • Bachelor’s degree in Human Resources, Business Administration, or a related field
  • 1+ years of administrative experience required (1 to 3 years total); experience in human resources, payroll, recruiting, or safety coordination
  • Working knowledge of HR practices including employee recordkeeping, confidentiality requirements, policy administration, compliance tracking, performance management support, training coordination, and general employment processes
  • Ability to learn and use HRIS, payroll, timekeeping, applicant tracking, and Microsoft Office systems accurately
  • Strong attention to detail, organization, follow-through, and ability to manage multiple priorities
  • Effective written and verbal communication with a customer-service mindset
  • Ability to support and work within a faith-based organizational culture with professionalism, respect, and alignment to mission and values
  • Ability to maintain confidentiality and exercise sound judgment with sensitive employee information

Preferred Qualifications

  • Experience supporting payroll processing or serving as a payroll back-up
  • Experience coordinating workplace safety programs, safety committees, incident reports, or workers’ compensation documentation
  • Experience supporting full-cycle recruiting, onboarding, and offboarding processes
  • Experience supporting performance review cycles, training coordination, learning records, or employee development activities
  • Knowledge of applicable employment laws, workplace safety requirements, HR compliance practices, policy administration, performance management processes, and employee training coordination
  • SHRM-CP, PHR, payroll, safety, or related training/certification preferred but not required

Working Conditions / Physical Factors

  • Primarily indoors; requires sitting, standing, bending, reaching, and moving between buildings continuously
  • Requires sustained emotional balance, patience, and tolerance for people and personal and management issues continuously
  • Occasional ability to move about all facilities
  • Requires ability to hear, see, and speak clearly continuously
  • Prolonged periods of sitting at a desk and working on a computer continuously
  • Must be able to lift 15 pounds at times occasionally
  • Occasional ability to access and navigate each department at the organization’s facilities

Location: Spokane, WA (onsite) | Compensation: USD 22 - 28 per hourly
