Human Resource Generalist
Job Description
Administrative support role for The Elser Hotel & Residences' Executive Office and HR department in Miami, handling recruitment support, onboarding, benefits administration, employee relations, training, and HR communications with hotel departments and Highgate corporate offices.
Responsibilities
- Assist with the recruitment workflow, including applicant screening, eligibility checks, reference verification, and document accuracy.
- Route suitable candidates to department managers for interviews when appropriate.
- Help prepare and distribute department communications and memorandums as needed.
- Maintain daily logs for new hires, terminations, transfers, meetings, and turnover, and generate timely reports.
- Support benefits administration covering health insurance, vacation, sick leave, personal leave, leave of absence, jury pay, and retirement plans; ensure policy compliance and accurate submissions.
- Coordinate pre-employment steps for new hires, including drug testing and reference checks, ensuring policy compliance.
- Notify interviewed applicants by phone or letter within the required time frame.
- Process paperwork for new hires, terminations, payroll actions, and status changes daily and accurately.
- Assist with New Hire Orientation by delivering benefits overview, explaining plan elements, and aiding enrollment and claims processing.
- Provide a thorough overview of the Highgate Handbook with policy and procedure details.
- Inform managers of monthly reviews, prepare payroll action forms, and track completion for timeliness.
- Support HR in maintaining accurate employee records.
- Assist with OSHA, workers compensation, and unemployment claim responsibilities for the hotel.
- Support HR reception duties, greet associates, managers, and potential hires, and direct to appropriate managers.
- Aid in producing the Employee Newsletter.
- Maintain associate files and ensure weekly filing completion.
- Assist with Associate Employee Relations events.
- Ensure immigration compliance for all employees under the Immigration Reform and Control Act.
- Monitor office and benefits supply inventory and place replenishment orders as needed.
- Keep employee bulletin boards current with memos, event photos, and loss prevention materials.
- Distribute paychecks as needed and collect signed acknowledgement pages from departments.
- Assist with other special hotel projects as required.
- Provide the General Manager with administrative support, scheduling key appointments, coordinating in-house meetings and agendas, and assisting with associate events.
- Assist the GM and hotel with social media management across multiple platforms, including timely responses to online channels.
- Lead web presence management with Hyatt Brand Analytics and Micros Interactive, ensuring timely updates to site content, menus, promos, and events.
- Support daily Medalia tracking and report results, following up with department heads on guest issues.
- Assist in administering hotel programs such as MOD, Lobby Ambassador, and Zone management, ensuring timely follow-up and communication from scheduling to reporting.
- Facilitate upward communication to Highgate corporate offices and senior leadership, ensuring adherence to daily, weekly, and monthly deliverables.
- Coordinate weekly Gold Passport Reception and manage invitation printing for in-house VIPs.
- Monitor in-house guest communications and requests, providing timely follow-up and confirming receipt to guests.
- Respond promptly to guest correspondence via the hotel general mailbox and route to relevant departments as needed.
- In the GM’s absence, coordinate corporate office requests and assist finance with reporting deadlines as required.
- Provide cross-departmental support during peak guest periods as needed.
Requirements
- Associate or Bachelor’s degree in Human Resources or equivalent, with one to three years of related work experience.
- Minimum one year of hotel or HR related experience.
- Ability to work long hours when required.
- Light physical demands, with occasional lifting up to 20 pounds and frequent lifting up to 10 pounds.
- Consistently maintain a warm and friendly demeanor.
- Strong verbal and written communication with all levels of staff and guests in a courteous, service oriented manner.
- Effective listening skills to understand and clarify concerns from employees and guests.
- Ability to multitask and prioritize to meet deadlines.
- Service oriented approach in all interactions with guests and colleagues.
- Attend all required hotel meetings and trainings.
- Dependable attendance aligned with Highgate Hotel Standards, with scheduling varying by hotel needs.
- Professional appearance and grooming, including proper uniform and nametag.
- Comply with Highgate standards and safety regulations to support efficient operations.
- Proactive in identifying issues and contributing to productivity improvements.
- Strong problem solving with the ability to anticipate, prevent, and resolve issues as needed.
- Ability to interpret and apply complex information from multiple sources to meet objectives.
- Willingness to cross-train in other hotel areas.
- Maintain confidentiality of sensitive information.
- Demonstrate initiative by anticipating guest and operational needs.
- Perform other duties as assigned by management.
- Basic PC skills, minimum typing speed of 35 wpm, professional writing ability; bilingual skills are a plus.
