Human Resources Administrator
Job Description
At the National Fish and Wildlife Foundation in Washington, DC, the HR Administrator will provide essential administrative support to day-to-day human resources operations, handle confidential records and benefits programs, and work closely with HR leadership under the Vice President of Human Resources. This role blends meticulous record-keeping with collaborative execution of HR functions to sustain the organization’s people programs and processes.
Responsibilities
- Create and maintain confidential personnel files and medical records, process personnel actions, and maintain the I-9 binder.
- Support the recruitment process by developing a robust posting pipeline, placing ads, reviewing resumes, scheduling interviews, administering pre-employment testing, completing offer letters, coordinating reference and background checks, and generating rejection notifications.
- Maintain shared application files and serve as the primary HR lead for recruiting Grants Administrators and Coordinators.
- Assist with the Intern Program, including recruitment, scheduling and attendance at on-site and off-site events, supervising or mentoring interns, and handling other ad hoc duties.
- Assist with new employee orientation by creating new hire packets, scheduling departmental orientation meetings, and distributing New Hire Presentation information to staff.
- Update NFWF’s Portal, Staffing Calendar, and organizational chart with employee updates (new hires, promotions, departures, supervisor/department changes); prepare associated Jira notifications and letters.
- Assist with annual open enrollment and coordinate Tuition Reimbursement, Student Loan Repayment, and Professional Development programs; coordinate monthly employee anniversary celebrations.
- Process and reconcile monthly invoices from vendors, review billings for accuracy, and ensure timely payments; complete reports for management as requested; provide administrative support to the Vice President of Human Resources.
Requirements
- Bachelor’s degree in Human Resources or related field, or equivalent experience with at least one year in multiple HR functions.
- High level of interpersonal skills to handle sensitive and confidential situations with poise, tact, and diplomacy.
- Strong written and verbal communications skills.
- Ability to manage multiple tasks and handle a high volume of work on deadline; exceptional attention to detail and proofreading ability.
- Creative mindset with a problem-solving approach; excellent time management, organization, and follow-through.
- Ability to respond quickly and accurately to information requests and provide excellent customer service; capable of managing multiple projects independently in a changing environment.
- Strong analytical skills and knowledge of computer software applications for word processing, spreadsheets, and payroll (ADP preferred); positive, team-oriented attitude.

Compensation
- Hourly rate: $36.06
- Starting range based on experience; compensation is negotiable and may be higher depending on the candidate's skills and experience.
