Job Description
VJ Electronix, Inc. is seeking a Human Resources and Payroll Administrator to oversee HR operations, payroll processing, onboarding, benefits administration, travel and expense management, and broader administrative support for a growing team onsite in Chelmsford, MA.
Responsibilities
- Handle bi weekly payroll through the external payroll provider ADP.
- Maintain comprehensive HR records, including personnel files, HRIS data, policy documents, and related compliance documentation.
- Lead end to end recruiting: partner with leadership to determine staffing needs, craft and update job descriptions, post roles, manage the careers page and agency relationships, conduct interviews, extend offers, and handle all documentation.
- Oversee timekeeping for all staff, including timesheets and paid time off tracking.
- Coordinate new hire onboarding, training, and orientation programs.
- Administer health and welfare plans, processing enrollments and terminations across benefits and 401(k), and assist employees with claims and inquiries.
- Deliver employee training and manage training assignments and content within the LMS.
- Coordinate offshore employees via a third party Employer of Record.
- Support data collection for regulatory filings including EEO-1, VETS-100, and OSHA.
- Oversee the Employee Morale program, including administration and participation.
- Administer all employment status, title, compensation, and location changes.
- Support safety, employment, facility, operations, insurance, and radiation safety compliance, coordinating with the HR Director and senior management to meet regulatory requirements.
- Coordinate employee travel and serve as the local Concur administrator.
- Collaborate with employees and supervisors to review and process expense reimbursements.
- Perform office management duties including supplies, guest reception, meal orders, mail handling, and general administrative tasks.
- Provide clerical support to the Service Manager, Sales Manager, and General Manager.
- Oversee Amazon purchasing, maintain related tracking records, and assist with credit card reconciliation for the corporate office.
- Enter accounting data, including new sales orders and customer invoice delivery.
- Set up new customer records in the ERP system and process credit checks.
Requirements
- Bachelor’s Degree.
- At least two years of payroll, human resources, or office management experience in an industrial environment.
- Experience processing payroll through a third party.
- Proficiency in MS Office, with emphasis on Excel.
- Detail oriented with strong organizational skills.
- Team oriented with solid interpersonal abilities.
- Self motivated and highly organized.
- Strong analytical and problem solving capabilities.
- Professionalism, discretion, diplomacy, and confidentiality essential for the role.
