Job Description
CareGivers of America is seeking a Registration Coordinator for an in-person role in Boca Raton, Florida. In this position, you help new independent contractors meet internal and AHCA compliance requirements by supporting registration, onboarding, and credential documentation end to end.
You will coordinate with internal teams to keep staffing information current, post targeted job advertisements when needed, and maintain precise records using company systems. The work also includes guiding aides through required steps, running Level 2 background screenings in line with AHCA guidelines, and validating references and credentials to ensure compliance.
What You’ll Do
- Register incoming independent contractors (ICs) and collaborate with the Registry team to stay informed about staffing needs and available openings.
- Post job advertisements on Indeed.com for targeted areas as needed to attract qualified candidates.
- Contact aides by phone and invite them to participate in the registration process.
- Support aides throughout registration, ensuring completion of required steps using the provided tablet.
- Download registration documents and upload them into ShareFile for secure record-keeping.
- Enter new aide information into Matrix to maintain accurate records.
- Communicate with staffers and the Administrator when a new aide becomes available so the team receives prompt updates.
- Email other Human Resources coordinators if an aide indicates willingness to be shared across departments.
- Conduct or obtain background checks for incoming aides, including performing a Level 2 screening according to AHCA guidelines.
- Validate references for every aide to ensure compliance and quality standards.
- Verify that all credentials are in good standing.
- Stay current on applicable AHCA requirements for this position.
- Upload aide files into ShareFile for documentation and record management.
- Work with staffers to ensure birthday messages are sent to independent contractors as part of a positive, appreciative work environment.
- Provide backup support to the Credentialing Coordinator on an as-needed basis.
- Complete other duties and responsibilities as assigned.
Skills and Qualifications
- A bachelor’s degree in human resources, healthcare administration, business administration, or a related field is preferred.
- Previous experience in administrative support, human resources, healthcare staffing, or registry coordination is beneficial.
- Familiarity with onboarding processes, compliance, and record management.
- Ability to use digital tools such as tablets for onboarding, ShareFile for document management, and Matrix for maintaining records.
- Knowledge of AHCA guidelines, including background checks, Level 2 screenings, and regulatory requirements for caregivers.
- Strong written and verbal communication skills to guide and coordinate with aides, staff, and administrators.
- Excellent attention to detail and the ability to manage multiple tasks such as scheduling, onboarding, posting job ads, and updating records.
- Ability to maintain positive relationships with independent contractors and staff, including ongoing communication and appreciation messages.
- Capability to anticipate staffing needs, address compliance-related issues, and support timely team updates.

Pay: From $50,000.00 per year
