Administrative Assistant I
Job Description
This on-site Administrative Assistant I role is based in Honolulu, Hawaii, supporting the Human Resources Department and Workforce Programs. The position handles onboarding, records management, training coordination, compliance tracking, and workforce program administration. The hourly rate for this assignment is $23.
Responsibilities
- Keep employee records current within Altres HR Symphony and the HR document management system.
- Perform employment verifications, background checks, reference checks, and screenings for volunteers.
- Log and input training and skills documentation for employees.
- Create new hire welcome packets and coordinate onboarding activities.
- Assist with issuing employee ID badges and configuring time and attendance systems.
- Answer HR inquiries received via phone, voicemail, fax, or general channels.
- Organize monthly new hire orientation logistics and assemble orientation materials.
- Maintain driver abstract records and support annual compliance reviews.
- Support annual DBIDS renewals and prepare monthly HR invoices.
- Prepare packets for participants, employees, and interns.
- Maintain AbilityOne eligibility files and related documentation.
- Assist in coordinating onboarding, training, and eligibility meetings.
- Help employees with disabilities complete organizational forms electronically or in person.
- Enter data and compile workforce program information and reports.
- Maintain confidentiality and safeguard sensitive information.
- Adhere to organizational policies, procedures, safety practices, and standards of conduct.
- Complete mandatory training and ongoing professional development activities.
- Undertake additional duties and special projects as assigned.
Requirements
- High school diploma, GED, or an equivalent credential.
- At least two years of clerical, administrative support, or HR-related experience.
- Valid driver’s license with a clean driving record, meeting Level 2 driver requirements.
- TB clearance.
- Criminal background check.
- Pre-employment drug and alcohol screening.
- CPS and APS background checks.
- Military base access requirements.

Working Conditions / Hours
- Full-time schedule, Monday through Friday, typically 7:30 a.m. to 4:30 p.m.
- Occasional work outside normal business hours, including weekends and holidays, may be required based on operational needs.
- Primarily works in an indoor office environment with limited telework opportunities.
- May travel between program sites, meeting locations, and other organizational facilities as needed.
