Job Description

ADTRAV Travel Management offers a hybrid Human Resources Assistant role based in Birmingham, AL, combining HR operations support with exposure to government clearance processing. What You’ll Do

In this role, you will support day-to-day HR operations across multiple HR functions while partnering with employees throughout key processes and requests. You will also help ensure HR information remains accurate, complete, and compliant across systems and personnel records.

  • Support the day-to-day operations of the Human Resources department.
  • Manage the government clearance process, including guidance to employees, tracking progress, following up on outstanding items, and maintaining status reports.
  • Answer employee inquiries related to HR policies, benefits, procedures, and employment-related matters with timely, professional, customer-focused service.
  • Maintain accurate and confidential employee data in the HRIS, including electronic filing of employee documents.
  • Audit personnel files and HR records for completeness and compliance, resolving missing information as appropriate.
  • Share recurring employee concerns, trends, and issues with HR leadership in a timely manner.
  • Assist with compliance activities, including required postings, audits, and reporting to federal, state, and local agencies.
  • Support recruitment and onboarding, including posting roles, reviewing resumes, coordinating interviews, screening candidates, conducting reference checks, processing new hire documentation, and supporting onboarding.
  • Monitor and manage the Human Resources inbox, responding to inquiries or routing communications appropriately.
  • Provide payroll support by entering employee changes, researching discrepancies, and obtaining clarifications from employees and managers as needed.
  • Support employee and manager communications through email, chat, and other channels.
  • Prepare and maintain HR reports, forms, spreadsheets, policies, procedures, and other departmental documentation.
  • Support employee engagement initiatives, employee satisfaction surveys, and employee experience programs.
  • Assist with HR projects, audits, and special initiatives, including open enrollment, compliance training, policy updates, and process improvements.
  • Use HR and business systems including HRIS, Smartsheet, Confluence, Jira, and other internal applications.
  • Maintain working knowledge of applicable federal, state, and local employment laws and regulations.
  • Demonstrate excellent customer service, professionalism, empathy, and problem-solving in all interactions.
  • Participate in ongoing professional development and training.

What You Bring

  • High school diploma or equivalent required; coursework or a degree in HR, Psychology, Business Administration, or related field preferred.
  • Minimum one year of administrative experience required; prior HR support experience preferred.
  • Basic understanding of HR principles, employment laws, records management, and HR best practices.
  • Experience working with an HRIS, HRMS, Applicant Tracking System (ATS), or similar technology preferred.
  • Highly proficient in Microsoft Office Suite, including Outlook, Word, Excel, Teams, and PowerPoint.
  • Strong technical aptitude to learn and utilize multiple software applications.
  • Exceptional customer service skills and a commitment to a positive employee experience.
  • Excellent English verbal and written communication skills, including business writing, grammar, and proofreading.
  • Strong listening and interpersonal skills; respond to employee needs professionally and empathetically.
  • Ability to maintain composure, professionalism, and confidentiality with sensitive or complex matters.
  • Attention to detail and accuracy, with the ability to identify discrepancies and resolve issues proactively.
  • Highly organized, self-motivated, able to manage multiple priorities with minimal supervision in a fast-paced environment.
  • Strong analytical and problem-solving skills to research issues and recommend solutions.

  • Ability to report to the Birmingham, Alabama office as needed.
  • Ability to work a schedule between Monday and Friday, 8:00am-5:00pm CT, with overtime as business needs require.
  • Ability to successfully pass a credit, criminal, and/or employment reference background check.
  • Ability to successfully pass a government clearance process, including review of criminal history, credit, employment, and other financial information.

Hybrid Location Requirements

  • This is a hybrid position, and you must live within one hour of the Birmingham, AL office.
  • The role may work remote, with travel to the Birmingham office as needed for meetings, training, or other duties.

Pay Range

The pay range for this position is $22 to $24 per hour. Pay may be considered outside this range, and compensation is based on administrative or human resources work experience.
