Human Resources Associate
Job Description
The Human Resources Associate position at Columbia International University provides administrative support to the director of human resources, serving as the first-line authority for HR policies and procedures. This role maintains personnel files, leads onboarding and offboarding activities, coordinates IT and account setups, and assists with surveys, vacancies, and applicant processing.
Responsibilities
- Serve as a liaison for the implementation of human resources policies and procedures
- Arrange interviews for potential new hire candidates with the HR director; organize and review candidate files including applications, references, and other required items
- Organize and assist with the annual summer new employee orientation, supervisor training, and other HR programs
- Meet with all new regular employees for onboarding, orienting them to CIU policies and procedures; maintain new and current personnel records ensuring required documentation is obtained
- Initiate IT account set-up for all regular, temporary, and adjunct employees in collaboration with departments to ensure logins are assigned
- Oversee the offboarding process including scheduling exit interviews, providing important offboarding information, and updating databases and employee files
- Manage vacancy requests including posting open vacancies, assisting with recruitment, and supervising the applicant processor
- Administer background checks for all regular and temporary employees and volunteers
- Perform other routine administrative assistant duties including scheduling appointments for the HR director, ordering office supplies, preparing reports, and maintaining compliance
- Compile data and complete moderately complex internal and external surveys
- Assist with other HR tasks, such as the payroll process, as necessary
Requirements
- Five years of experience as an executive level administrative assistant
- At least one year of experience in a human resources office preferred
- Bachelor’s degree required
- Strong ability to maintain confidentiality is essential
- Ability to meet and interact tactfully and warmly with associates and the general public
- Patience, discernment, fair-mindedness, and integrity
- Proficiency in composing and typing a variety of correspondence, reports, and other materials with reasonable speed
- Experience with Microsoft Office Suite; data entry and management skills
- Familiarity with human resources information systems (HRIS) platforms preferred
- Proven skill in office procedures, planning, and organizing
- Ability to analyze problems and develop reasonable solutions
- Emotional stability and flexibility to handle unexpected situations
