Job Description

Baird & Warner is seeking a Human Resources Coordinator to help keep day-to-day HR operations running smoothly. The role provides recruiting support and operational coordination, reporting to the Director, HR Affiliated Business Partner, with a focus on recruiting logistics, onboarding execution, and core HR administrative initiatives.

This hybrid position is based in Schaumburg, IL, with an annual salary range of USD 52,000 to 62,000. The position supports business unit needs through a mix of candidate coordination, record management, and cross-functional readiness for new hires.

What you’ll do

  • Post open positions on approved job boards, perform initial candidate sourcing, review applications against basic job requirements, and conduct preliminary phone prescreens under the direction of the Director, HR Affiliated Business Partner.
  • Partner with hiring managers to schedule and coordinate interviews across phone, virtual, and in-person formats, act as a primary contact for candidates, send reminders, and compile candidate evaluation feedback.
  • Maintain candidate records and status updates in the Applicant Tracking System (ATS), pull basic recruiting metrics, and support administrative liaison tasks for external staffing agencies once approved by leadership.
  • Coordinate background checks and reference checks, and draft standard offer letters using pre-approved templates for Director review.
  • Work cross-functionally with IT, Facilities, and Payroll to ensure equipment, system access, and workspaces are prepared ahead of new hire start dates.
  • Execute established onboarding checklists, administer the established orientation schedule, collect employment paperwork, and complete routine administrative setup for new hires.
  • Coordinate calendar invites and session logistics for new hire training based on schedules set by hiring teams.
  • Format and distribute routine digital employee newsletters and departmental announcements as requested.
  • Provide administrative support for general HR programs, maintain personnel files, and assist with special departmental projects under the Director’s guidance.

What you bring

  • Bachelor’s degree in Human Resources, Business Administration, or a related field.
  • 1–3 years of administrative experience in Human Resources, including recruiting operations support and interview scheduling.
  • Proficiency with Google Workspace (Gmail, Calendar, Docs, Sheets) and prior experience with an ATS or HR software.
  • Strong organization and time-management skills with close attention to detail, especially when managing multiple schedules and candidate communications.
  • Collaborative communication skills (written and verbal), plus a friendly, professional approach with internal teams and external candidates.
  • Basic understanding of employment practices and commitment to confidentiality, with the ability to handle routine tasks independently while working as a team member.
