Human Resources Payroll Coordinator
Job Description
Celebrations! Party Rentals and Tents offers a stable, benefits-forward environment on site in Sacramento. You will contribute to human resources, payroll, safety, and employee services, using bilingual English and Spanish to support a diverse workforce. A high school diploma or equivalent and at least two years of HR experience are required.

Responsibilities
- Coordinate onboarding and offboarding activities, including new hire paperwork, employment verification, system updates, file setup, final pay, benefits notices, and related documentation.
- Maintain accurate and confidential employee, payroll, benefits, and HR records.
- Support recruiting efforts, including interview coordination, candidate communication, background checks, and pre-employment requirements.
- Respond to employee questions about policies, procedures, benefits, payroll, timekeeping, and general employment matters.
- Process and document employee changes such as promotions, transfers, wage changes, schedule changes, and position updates.
- Support compliance with employment laws, company policies, and internal procedures.
- Assist with employee relations documentation, including attendance records, corrective actions, investigations, and performance-related records.
- Coordinate with HR, payroll, safety, benefits, legal, or other consultants and vendors to support compliance, resolve issues, and improve internal processes.
- Contribute to process improvements across HR, payroll, safety, onboarding, records management, and employee communication.
- Maintain confidentiality and professionalism when handling sensitive employee information.
- Bilingual Employee Support – English & Spanish to assist a diverse workforce.
- Coordinate enrollment, changes, and terminations for health, dental, vision, 401(k), and other company-sponsored benefits.
- Assist employees with benefits questions and enrollment processes.
- Maintain accurate benefits records and coordinate with providers, brokers, payroll providers, and internal teams.
- Track eligibility dates and ensure timely benefit notices and documentation.
- Support annual open enrollment activities, including employee communication, forms, system updates, and follow-up.
Safety Responsibilities
- Support administration of workplace safety programs, policies, procedures, training requirements, and related compliance documentation.
- Coordinate safety trainings, toolbox talks, employee acknowledgments, and required safety recordkeeping.
- Maintain safety training records, inspection forms, incident reports, workplace postings, and safety materials.
- Conduct or assist with safety inspections, audits, incident investigations, and follow-up on corrective actions.
- Report safety concerns to management and help ensure employees understand and follow safety policies.
- Assist with workers’ compensation claim administration, including incident reports, claim forms, medical documentation, modified duty tracking, and related communication.
- Other duties as assigned.
Payroll Responsibilities
- Review timekeeping records for accuracy and address missing punches, meal period issues, overtime discrepancies, and approvals.
- Process payroll changes, including new hires, terminations, wage changes, promotions, job changes, deductions, and benefits changes.
- Maintain accurate records of earnings, deductions, hours worked, paid time off, and other payroll data.
- Generate and distribute pay stubs, direct deposit receipts, manual checks, tax forms, W‑2s, 1095‑Cs, and related documents.
- Respond to employee payroll questions regarding pay discrepancies, deductions, tax withholdings, timekeeping, and direct deposit issues.
- Maintain strict confidentiality of payroll information and employee data.
- Disburse payroll checks and direct deposits on payday as needed.
- Ensure payroll practices comply with company policy and applicable wage and hour requirements.
Requirements
- Bilingual in English and Spanish required, with the ability to read, write, speak, and translate basic workplace communications.
- Strong attention to detail and accuracy in payroll, records, and compliance documentation.
- Ability to maintain confidentiality and handle sensitive information professionally.
- Strong organizational and time management skills.
- Excellent written and verbal communication abilities.
- Strong interpersonal skills and the ability to work respectfully with employees at all levels.
- Ability to explain policies, payroll information, benefits, and procedures clearly.
- Knowledge of HR practices, benefits administration, and employment documentation.
- Ability to work independently and collaborate with management, supervisors, employees, vendors, and consultants.
