Human Resources Associate
Job Description
Memphis, TN (onsite) Human Resources Associate role focused on day-to-day HR operations, from hiring through onboarding and employee relations.
- Oversee core human resources operations, including recruitment, job postings, candidate coordination, hiring, onboarding, and employee relations
- Manage personnel records and performance management, including policy administration and HR compliance
- Support employee investigations as needed and maintain confidential disciplinary documentation
- Administer open-position workflow from approved hiring need through selection and onboarding
- Create, post, and maintain approved job openings on Indeed and other recruiting platforms
- Update job descriptions and job postings in partnership with school leadership
- Monitor applications and applicant pipelines for active positions
- Review applications and resumes based on established qualifications
- Communicate with candidates throughout the hiring process and ensure a responsive, organized candidate experience
- Schedule and coordinate interviews between candidates and school leadership; send interview invitations, confirmations, reminders, and follow-up communications
- Ensure leadership receives resumes and candidate information prior to interviews
- Maintain organized records of applicants, interviews, candidate status, and hiring decisions
- Coordinate references, background checks, and required employment screenings
- Prepare offer documentation and employment agreements as directed by leadership
- Maintain a pipeline of potential candidates for recurring and anticipated staffing needs
- Coordinate onboarding for new employees, including new hire paperwork completion that is accurate and timely
- Coordinate employee orientation and introductions to school policies, expectations, systems, and culture
- Ensure required credentials, certifications, background checks, and employment documents are collected and maintained
- Maintain standardized onboarding checklists, processes, and transition support with school leadership
- Serve as an accessible HR resource; respond to employee concerns and HR-related questions
- Support leadership with workplace concerns including employee conflicts, attendance concerns, conduct issues, and other personnel matters
- Maintain clear and confidential documentation for employee relations matters and help ensure consistent handling aligned to school policies
- Coordinate employee performance management processes and support supervisors with documentation of performance concerns
- Prepare HR documents such as written warnings, corrective action, and performance improvement plans; support progressive discipline
- Track follow-up dates and required performance actions; maintain records of coaching, corrective action, and performance improvement activity
- Support employee evaluation processes established by school leadership
- Maintain complete, accurate, confidential, organized employee personnel files and track employment status changes
- Track required employment documents, credentials, licenses, certifications, background checks, and acknowledgments
- Maintain standardized HR forms, templates, checklists, documentation, and keep personnel files audit ready
- Support compliance with applicable employment laws, regulations, school policies, and charter school requirements
- Maintain required employment eligibility documentation and an HR compliance calendar to meet recurring deadlines
- Assist leadership with developing, reviewing, and updating employee policies and procedures; help maintain the employee handbook
- Communicate HR policy and procedure updates to employees, including completion of required policy acknowledgments
- Help supervisors consistently administer school HR policies and recommend improvements to HR procedures as the organization grows
- Coordinate HR processes for resignations, terminations, and other separations; assist with exit interviews when appropriate
- Maintain separation documentation and coordinate with other departments regarding property, credentials, and system access during departures
- Maintain a standardized employee departure checklist
- Support a mission-aligned workplace culture and assist with employee recognition, engagement, and retention initiatives
- Identify recurring employee concerns and organizational trends; support initiatives to strengthen morale, accountability, retention, and organizational effectiveness
- Maintain accurate HR information within applicable school systems
- Create standardized HR workflows, processes, checklists, templates, tracking systems, and recurring calendars; identify opportunities to simplify and automate administrative processes
- Maintain organized and secure digital personnel records
- Prepare HR reports and workforce information requested by school leadership
- Continuously evaluate HR processes and recommend improvements
Requirements
- Bachelor’s degree in Human Resources, Business Administration, Organizational Leadership, Education Administration, or a related field preferred
- 3+ years of human resources or people operations experience preferred
- Demonstrated experience with recruiting, applicant coordination, employee relations, onboarding, personnel documentation, performance management, or HR compliance
- Experience managing job postings and coordinating interviews strongly preferred
- Strong written and verbal communication skills
- Exceptional organization and attention to detail
- Ability to manage confidential and sensitive employee information with discretion
- Strong interpersonal skills and ability to work effectively with employees at all levels
- Ability to manage multiple priorities, open positions, and deadlines simultaneously
- Strong judgment and problem-solving skills
- Comfort using technology, recruiting platforms, and HR systems
- Ability to work independently while partnering closely with school leadership

Preferred qualifications
- Experience within a school, charter school, education organization, nonprofit, government agency, or similarly regulated environment
- Experience using Indeed or other recruiting platforms
- Experience managing employee relations matters and workplace investigations
- Experience with performance improvement plans and progressive discipline
- Experience developing HR policies, procedures, or employee handbooks
- Knowledge of Tennessee employment requirements
- Familiarity with educator licensure, credentialing, or school personnel compliance
- SHRM-CP, PHR, or another recognized HR certification is preferred but not required
