Human Resources Data & Records Coordinator
Job Description

Responsibilities
- Oversee the administrative function of HR, ensuring data integrity across records
- Maintain both paper and electronic employee paperwork, including verifications of employment, certificate renewal applications, payroll change forms, and similar documents
- Assist in developing policies and procedures related to credential tracking and recordkeeping
- Manage information in the HRIS and cloud-based recordkeeping systems
- Conduct periodic audits of records and data
- Assist with handling employee issues and investigations as needed
- Oversee verification of credentials and license tracking
- Manage the various HR systems and platforms used, including Square 9 and ADP
- Assist with reference checks
- Perform HRIS data entry
- Other duties as assigned
Requirements
- Strong attention to detail with the ability to maintain data integrity across multiple platforms
- Proficient in Microsoft Office Suite (Excel, Word, Outlook) and other office productivity tools
- Strong organizational and time management skills, with the ability to manage multiple tasks simultaneously
- Ability to maintain confidentiality and handle sensitive employee data with discretion
- Excellent communication skills, both written and verbal, for interacting with staff and other stakeholders

Preferred Qualifications
- Experience with specialized HR platforms such as Square 9 or similar cloud-based recordkeeping or payroll systems
- Knowledge of HR regulations, including compliance with labor laws, credential verification requirements, and best practices for data management
- Certification in Human Resources (e.g., PHR, SHRM-CP) or a related credential is a plus
- Experience with audits of HR data and the ability to recommend improvements or process enhancements
