Job Description

Charter One offers health benefits, paid time off, and a 401k with employer contributions. This on-site, full-time role in Mesa, AZ focuses on maintaining employee records, data integrity, credential verification, and HRIS management.

Responsibilities

  • Oversee the administrative function of HR, ensuring data integrity across records
  • Maintain both paper and electronic employee paperwork, including verifications of employment, certificate renewal applications, payroll change forms, and similar documents
  • Assist in developing policies and procedures related to credential tracking and recordkeeping
  • Manage information in the HRIS and cloud-based recordkeeping systems
  • Conduct periodic audits of records and data
  • Assist with handling employee issues and investigations as needed
  • Oversee verification of credentials and license tracking
  • Manage the various HR systems and platforms used, including Square 9 and ADP
  • Assist with reference checks
  • Perform HRIS data entry
  • Other duties as assigned

Requirements

  • Strong attention to detail with the ability to maintain data integrity across multiple platforms
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook) and other office productivity tools
  • Strong organizational and time management skills, with the ability to manage multiple tasks simultaneously
  • Ability to maintain confidentiality and handle sensitive employee data with discretion
  • Excellent communication skills, both written and verbal, for interacting with staff and other stakeholders

Preferred Qualifications

  • Experience with specialized HR platforms such as Square 9 or similar cloud-based recordkeeping or payroll systems
  • Knowledge of HR regulations, including compliance with labor laws, credential verification requirements, and best practices for data management
  • Certification in Human Resources (e.g., PHR, SHRM-CP) or a related credential is a plus
  • Experience with audits of HR data and the ability to recommend improvements or process enhancements
