Job Description

Balanced Body Inc is seeking an experienced Payroll and Human Resource Specialist to lead domestic and international payroll operations while supporting essential HR processes for a multi-state workforce. The role is based onsite in Sacramento, CA and supports People operations including employee records, training logistics, onboarding and offboarding, and cross-functional coordination.

Payroll

  • Run regular audits, reconcile payroll reports, and investigate complex payroll discrepancies.
  • Audit timecards and partner with leaders on required corrections.
  • Process bi-weekly payroll and off-cycle payrolls accurately and on time for 450+ multi-state employees.
  • Process monthly international payroll.
  • Maintain clean, accurate payroll records and support manual check processing when adjustments or final checks are needed.
  • Draft commission, incentive, and bonus calculations in line with company process.
  • Field and resolve payroll questions from employees and managers.
  • Track leaves of absence and benefit payments.

General Ledger and Payroll Accounting Support

  • Maintain G/L reconciliations for payroll, benefits, PTO accrual, and related activities and other assigned accounts.
  • Generate draft journal entries to record payroll and related activity for review.
  • Assist with annual payroll audits, including year-end reconciliations.

International Payroll Compliance and System Implementation

  • Implement payroll software changes and support the setup of new states nationwide.
  • Learn and train leaders on international payroll laws.
  • Keep payroll compliant with federal, state, and local tax laws.
  • Implement payroll software changes as needed.

Employee Records, Compliance, and HRIS Administration

  • Maintain, file, audit, and inspect employee records, including termination records, with responsibility for file archiving.
  • Ensure HR documents (performance reviews, disciplinary actions, and similar materials) are signed and uploaded into HRIS.
  • Track certifications to ensure documentation is complete and current in HRIS.

Training & Development, Onboarding & Offboarding

  • Assist with training schedules, vendor communications, and logistics for company-wide trainings.
  • Maintain accurate training records to support EDD ETP compliance.
  • Support onboarding by building new-hire packets and files.
  • Support offboarding by building termination packets and maintaining termination records.

Employee Engagement and Cross-Functional Support

  • Partner in employee events, celebrations, and recognition.
  • Manage the swing shift contact roster.
  • Support recruiters with interview scheduling and participate in open interviews.
  • Support HR Generalists with employee relations activities.
  • Support the Safety Specialist with safety training and EHS software updates.

Requirements

  • 5+ years of experience in a combined payroll and HR role, or equivalent combined experience across payroll and human resources functions.
  • Hands-on experience with employee relations, conflict resolution, and workplace investigations.
  • Strong grasp of payroll best practices, employment law, and US labor law (FLSA, OSHA, FMLA).
  • Associate’s degree in Business Administration, Human Resources, or a related field; Bachelor’s in HR is a plus.
  • Proficiency in payroll software (Paylocity a plus), experience managing an HRIS, and intermediate/advanced Excel.
  • Strong working knowledge of Microsoft Word, PowerPoint, and Outlook.
  • A trusted approach to handling sensitive, confidential information.
  • Excellent communication and people skills, with the ability to prioritize effectively when deadlines require urgency.

Preferred Qualifications

  • Multi-state payroll and employee relations experience (CA, TN, CO, OR).
  • Payroll Practitioner Certificate.
  • International HR compliance experience.
  • Manufacturing environment experience.

Compensation and Location

Location: Sacramento, CA (onsite)

Pay: USD 28 - 36 per hour

Schedule: Bi-weekly payroll and off-cycle processing (as needed)
